Executive Administrator to SVP-North America A&I & IT, supporting the NA Market Operations A&I and IT organization. The office has integration, collaboration and innovation responsibilities that promise an exciting and growthful environment for the incumbent. Besides administrative support, this role will lead logistics for several meetings and events and provide leadership for projects as directed by the SVP. Job Description
Executive Administrator to SVP-North America A&I & IT, supporting the NA Market Operations A&I and IT organization. The office has integration, collaboration and innovation responsibilities that promise an exciting and growthful environment for the incumbent. Besides administrative support, this role will lead logistics for several meetings and events and provide leadership for projects as directed by the SVP. This role will interact closely with the Market Ops Executive Assistant (EA) Network and the A&I & IT EA/Admin Network. The ideal candidate should:
- Be well-versed in office management, technical tools and software applications, and coordinating travel and regional business meetings. They must also be professional and exercise discretion when handling sensitive information.
- Have strong communication skills. They will build and maintain relationships crucial to the success of the Executive and the organization, own employee communication events (townhalls, global business meetings, etc.), prepare high quality documents/materials, and compose short notes and responses.
- Have strong project management skills. They will serve as a strategic business partner, trusted confidante, and liaison. They will provide meeting management responsibilities including material and technology preparation (audio/visual coordination for hybrid meetings), content aggregation, and flawlessly manage logistical details.
- Have personal ownership, high attention to detail, passion, accountability, minimize complexity where possible and require minimal guidance.
- Technical knowledge: Teams, Webex, Outlook, PowerPoint, Excel, iPad/PC, SharePoint, Calendar management, Expense Reporting, PO system, budget system
- Highly proficient in calendar management. Balancing meeting requests, booking travel, planning meetings, and expense reporting while giving manager time to focus on priorities
- Problem solving skills. Know whom to engage with to address a situation – across levels – in helping the SVP with various business and organization matters.
