Surgical Scheduler Job Description

  • Keep a log of all the procedures for each patient having surgery for pre-cert purposes.
  • Verify benefits for all procedures and list information in the “Note” section of eCW.
  • After benefits are verified the Provider needs to complete their note for patient. When you have the progress note, initiate pre-certs, prior-auth, or pre-determination. Fax clinicals to insurance.
  • Track status on surgical pre-cert, auths, and predetermination weekly. Call patient to keep them updated with progress of insurance activity.
  • When auth is obtained, scan paperwork in Auth folder. Call patient to schedule.
  • Notation in eCW: benefits verified, auth #, anesthesia notified, sedation chosen, and financial responsibilities.
  • Schedule UFE 1 st post-op visits at the same time you schedule the surgery.
  • Discuss anesthesia or valium sedation; anesthesia-review protocol. Valium- get pharmacy number and instruct patient you will call when Rx has been sent to their pharmacy. Instruct it is ONLY for the surgery and will not be phoned in again.
  • Discuss they must have a driver to take them home and must come in to sign form.
  • Work up estimate to give to patient. Stress it’s only an estimate. Quote cash fees.
  • Payment Plan: Document in eCW the cost to patient, discuss with patient. If patient needs to set up a payment plan, prepare paperwork and review with the patient for signature. Maintain in the payment plan folder for access the morning of the appointment. Always discuss down payment day of surgery.
  • Send text to anesthesia group when scheduled: Patient initials, surgeon, date, time, insurance info, and procedure. Text confirmation daily for the next day.
  • Call patient 2 days before, verify insurance prior to the call. Review pre-op instructions, financial responsibilities, time and location of surgery and confirm appointment. Relay any special instruction given by the surgeon or NP.
  • Help answer phones and make appointments.
  • Cover check-In and check-out when needed / participate with lunch coverage rotation.
  • Set up 5-Star Review for patients providers invite to participate.
  • FMLA Paperwork completed in 2 weeks.

  • Call hospital to confirm date and time are available
  • Send orders, insurance information, H&P, and clinicals

UFE Procedures

  • Follow standard scheduling procedures.
  • Make 1 st post-op visit.
  • Email/mail patient pre-op protocol instructions after reviewing with patient. Note in eCW they were sent.
  • Document pharmacy number.
  • Inform patients we will call them when Rx has been sent to pharmacy.
  • Task Urvil for Rx to be written
  • UFE and PAD, Urvil needs to be tasked the date and time to arrange recovery room nurse coverage.
  • Recovery for UFE/PAD is approximately 2 hours. For late cases speak with surgeon before booking.
  • Additional tasks assigned by providers and management that is added to Job Description
