Job Description

The Senior Producer reports to the Hit Play’s Managing Director, while collaborating closely with the Owner, Executive Director on how each client and project should be managed and produced. Once up to speed, the Senior Producer will run all client facing communication, both in meetings and via email. They will come prepared to facilitate conversations that need to be had with each member of our team, they will manage the creation of presentation decks alongside the creative team and will follow all meetings with an internal project plan to achieve next steps. It is the Senior Producer’s responsibility that the project remains on time, on budget and that the client expectations are met. At Hit Play, even if the most senior member of the team is in the room, it doesn’t mean the responsibility falls to them to lead. This person should feel comfortable guiding the team toward success independently.


Job Responsibilities

In-Person events

  • Direct and manage pre-production team 
  • Direct and manage on-site event team (from 2 to 30 contract roles)
  • Conduct venue research, develop presentations, negotiate contracts, oversee participant registration, hotel room blocks and logistics
  • Create and manage budgets and production schedules/timelines
  • Develop and manage registration process and guest communications
  • Assist in content and development of event communications, presentations, signage, environment and other branding
  • Maintain established profitability goals
  • Plan and lead client meetings both in person and via conference calls
  • Manage client and vendor relationships
  • Work with creative, staffing, logistics and accounting teams
  • Research and present creative event design options, venues, premiums, gifts
  • Plan and lead event site visits
  • Understand event objectives, client brand and client personalities
  • Anticipate needs and wants of clients - answer questions before asked
  • Set and maintain tone for the team - always calm under pressure
  • Travel can vary and may be up to 30-40% (dependent upon client event schedule and current health guidelines)

Experience/Skills:

  • Bachelor’s Degree preferred
  • 8+ years of proven event production experience required
  • Strong project management skills with proven ability to lead teams
  • 2-3 years of management or supervisory experience
  • Client focus with attention to detail, flexibility and accountability for results
  • Leadership and coaching skills
  • Strong written and verbal communication skills
  • Extraordinary organizational skills, self-motivation and intuition
  • Thrive in a fast paced, agency environment
  • Excellent computer skills Microsoft and Apple applications, team project software, social media sites
  • Ability to successfully manage production timelines and needs as related to permit procurement
  • Ability to effectively manage tasks across multiple projects/various clients at the same time
  • Must have managed budgets of +$1M in the past under event practices and budget management and reconciliation
  • Relationship building with clients including B-level executives, vendors, staff, and team members; strong ability to negotiate and resolve issues smoothly and effectively
  • Commitment/deadline-driven and proven ability to manage multiple projects at a high level of efficiency - all in a fast paced environment


Compensation

  • Based on experience 
  • Hit Play follows a business model of hiring independent contractors, so please be prepared accordingly in working with us.
