Senior Payroll Specialist

DigiStream Investigations, a fast-growing, national private investigation firm, seeks a talented Senior Payroll Specialist to join our Human Resources team in Sacramento, CA.

Job Summary

A Payroll Specialist is responsible for managing and overseeing all aspects of the payroll process within the Brand. This includes ensuring employees are paid accurately and on time, maintaining payroll records, and complying with relevant laws and regulations. The role requires strong attention to detail, proficiency with ADP payroll software, and the ability to handle confidential information with discretion.

Responsibilities

Must be familiar with ADP Workforce Now payroll system, as well as time and attendance via ADP’s online timecard system.

  • Payroll Processing:
  • Responsible for payroll processing for a multi-company, multi-state, semi-monthly payroll for 425+ employees.
  • Calculate wages, salaries, bonuses, and deductions accurately.
  • Ensure timely distribution of paychecks or direct deposits.
  • Continuous audits of payroll process and data to uphold the integrity of the HRIS.
  • Compliance:
    • Stay updated with federal, state, and local payroll regulations and ensure compliance.
    • Prepare and submit payroll tax reports and payments to appropriate agencies.
    • Handle year-end tasks including W-2 and 1099 forms.
  • Record Keeping:
    • Maintain accurate payroll records and employee files.
    • Update payroll records for changes in employee status, such as new hires, terminations, and changes in job classifications or pay rates.
  • Reporting:
    • Generate payroll-related reports for management, HR, and accounting departments.
    • Provide reports and data for audits and other compliance checks.
  • Issue Resolution:
    • Address and resolve payroll-related inquiries and discrepancies from employees.
    • Investigate and correct payroll errors and ensure corrective actions are taken to prevent recurrence.
  • System Management:
    • Operate and maintain payroll software systems.
    • Implement and test updates to payroll systems as necessary.
Qualifications

  • Education:
    • Bachelor’s degree in Accounting, Finance, Human Resources, or a related field preferred or 3 years of equivalent experience
    • Certified Payroll Professional (CPP) certification is a plus.
  • Experience:
    • Proven experience as a Payroll Specialist, Payroll Administrator, or similar role.
    • Experience with ADP payroll software and MS Office Suite, particularly Excel.
  • Skills:
    • Strong numerical aptitude and attention to detail.
    • Excellent organizational and time-management skills.
    • Good communication skills and the ability to handle sensitive information confidentially.
    • Problem-solving skills and the ability to work independently and under time constraints.
  • Knowledge:
    • In-depth knowledge of payroll laws and regulations.
    • Understanding of accounting principles related to payroll.
Working Conditions

    • Office setting with standard office hours.
    • May require occasional overtime during peak periods (e.g., rush assignments, year-end, tax season).
