Administrative at Brex

The Executive Assistant team is an integral component to company operations, ensuring that our leaders are supported and equipped to be successful and are focused on company goals. As strategic partners, Brex Executive Assistants provide critical support while also contributing to projects that help drive business priorities and strengthen team collaboration.

What You’ll Do

The Executive Assistant to the CEO/Founder will be responsible for providing comprehensive support to the CEO, managing the day-to-day operations of the executive office, and ensuring efficient communication and coordination across the organization. You will be the steward of their time, coordinating internally and externally to plan seamless meetings, travel, and offsites. The ideal candidate is a strategic thinker with exceptional organizational skills, capable of managing multiple priorities with a high degree of professionalism and confidentiality. This role will report to the Chief of Staff to the CEO and will require in-person support three days a week at Brex’s San Francisco office.

Responsibilities

Administrative Support

  • Manage and prioritize the CEO's calendar, scheduling meetings, appointments, interviews, and travel arrangements.
  • Handle correspondence, emails, and phone calls, ensuring timely and appropriate responses.
  • Collaborate with other Executive Assistants for critical company processes including weekly, monthly and quarterly internal meetings
  • Organize and maintain files, records, and documentation.

Project Management

  • Support the CEO in all daily duties, understand key priorities, and build processes to make the organization more effective
  • Assist in the planning and execution of strategic initiatives and special projects.
  • Track progress on various projects, ensuring deadlines are met and deliverables are achieved.

Communication & Coordination

  • Act as a liaison between the CEO and other executives, employees, clients, and stakeholders.
  • Coordinate and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Ensure clear and consistent communication across the organization.

Travel & Event Planning

  • Arrange complex domestic and international travel itineraries, including flights, accommodations, dining reservations, and ground transportation.
  • Plan and coordinate company events, conferences, and executive off-sites.

Requirements

  • 8+ years of administrative experience in a fast-paced environment, 3+ of those years supporting at the Founder / CEO level.
  • Excellent organizational, problem-solving, time-management and prioritization skills
  • Outstanding written and verbal communication, as well as listening skills
  • Strong team-player attitude; needs to work well under pressure and be adaptable in the face of changing priorities
  • Expert with G-Suite (Google Calendar, Gmail, Google docs, Google sheets, etc.)
  • High degree of discretion and integrity, especially when taking care of confidential information
  • Strong problem-solving skills and attention to detail.
  • High level of professionalism and interpersonal skills.

Bonus points

  • Experience with Google Suite, Slack, DocuSign, and Adobe Sign
  • Undergraduate degree

Compensation

The expected salary range for this role is $136,000-$170,000. However, the starting base pay will depend on a number of factors including the candidate’s location, skills, experience, market demands, and internal pay parity. Depending on the position offered, equity and other forms of compensation may be provided as part of a total compensation package.
