Ottawa University (established in 1865), one of the oldest private liberal arts universities in the United States, is a multi-campus system serving approximately 4000 students through its campuses in Kansas (Ottawa, Kansas- Residential Campus and Overland Park, Kansas- Adult Programs); Arizona (Surprise Residential Campus and OUAZ Adult Programs); Wisconsin (Brookfield Adult Programs); and our OU ONLINE PROGRAM based out of Overland Park, Kansas.

Job Summary

Primarily responsible for the recruitment and enrollment of students by using effective enrollment management and advising techniques and excellent customer service skills, through electronic modes of operation, which are aligned with Ottawa University’s student centric philosophy. Contacts and advising will be accomplished predominantly by phone and email. Requires timely and effective communication with applicants to assist them in all phases of the new student enrollment process. Responsible for achieving measurable enrollment goals and objectives. Additionally, serves in a CDE role and responsibilities in assigned area.

ESSENTIAL FUNCTIONS OF THE JOB (provide list of items which are essential to effective outcomes in this role):

  • Responsible for meeting individual targeted new student recruitment goals and assist in accomplishing the overall department goals. Measurement of success will be determined by (but not limited to): number of leads received/assigned; number of referrals and personally developed leads generated; number of professional college advisory sessions scheduled (PCAS); number of PCAS conducted; number of applications generated; dials, talk-time, accurate database management and retaining and advising new students.
  • Recruits and enrolls students into Ottawa University’s courses and programs by using effective enrollment management sales techniques and excellent customer service skills.
  • Contacts prospective students to conduct via the telephone a professional college advisory session (student interview).
  • Conducts individualized professional college advisory sessions to ensure prospects needs are met. Face-to-Face student appointments are preferred for PCAS, followed by video-conference meetings (ZOOM), or telephone appointments.
  • Maintains close working relations with supporting offices including financial aid, registrar’s office, business office, academic advisors and faculty to ensure a smooth and successful enrollment process for students and to provide accurate information and student expectations.
  • Remains in communication with prospect via email and telephone to ensure timely response to questions and to obtain and process all appropriate paperwork to complete enrollment process prior to start.
  • Advises prospective students concerning University program options in relation to making the decision of which program will most closely fit their background, strengths, needs and preferences.
  • Manages the process for decision making related to each prospective student’s entry into Ottawa University. Requires evaluation of prospective student transcripts and assessment of hours that will be transferrable for each student. Must have knowledge of the University organization, structure, HLC standards, FERPA and agreements with other educational institutions. Must understand programs and systems to be able to effectively assist students toward a program that will successfully meet degree requirements. Final approval and assessment of transcript must be confirmed by the University Registrar’s office.
  • Assesses all information toward making the decision to admit a student into a University program. Decision is made based upon University Academic Standards (unit standards) as they apply. Each prospective student must meet established criteria for admissions standards. Exceptions to standards are handled by the appropriate unit academic decision maker.
  • Facilitates the process for financial aid application. Encourages prospective students to understand how to apply for financial aid, make use of online tools, explains process and information needed to attain appropriate types of aid, and refers the student as needed toward 2nd level support in the University Financial Aid office.
  • Responsible for the accuracy and timely entry of all data information pertaining to assigned students in student database systems. Prepares reports as requested (weekly/monthly/quarterly/annually) and/or as needed.
  • In addition to Enrollment Advisor duties, the Senior EA is responsible for CDE duties as assigned:
    • Coordinates campus outreach strategy, working in conjunction with unit leaders and other Community Development Executives. Expands on, and further develops these relationships toward meaningful enrollment partnerships.
    • Responsible for development, implementation, tracking, and assessment of organized plans for recruiting new students and cultivating relationships with key external constituents. Assures communication with key external constituents to ensure the continuation or expansion of these relationships.
    • Responsible for formalizing strategic alliances with specific academic programs/schools to create streamlined pathways from associates to bachelor’s to master’s degree.
    • Responsible for assuring accuracy and appropriate distribution of campus marketing material.
    • Responsible for scheduling student generating events to ensure the unit is on track to hit enrollment targets.
  • Work with departmental/campus leaders to establish meaningful and measurable enrollment goals, and monitoring performance against those goals. Responsible for generating a pre-determined number of targeted leads to meet term and annual enrollment goals.
  • Maintains close working relations with supporting offices including financial aid, registrar’s office, business office and academic advisors to ensure a smooth and successful enrollment process for students and to provide accurate information and meet student expectations.
  • Advises external constituents concerning University program options in relation to making the decision of which program(s) will most closely fit their background, strengths, needs, and preferences.
  • Responsible for the accurate and timely entry of all data pertaining to outreach activities into SalesForce. Prepares reports as requested (weekly/monthly/quarterly/annually) and/or as needed.

REQUIRED EDUCATION: (education based on essential job duties and requirements consistent with business necessity):

Bachelor’s degree or equivalent professional experience required. Master’s Degree preferred

REQUIRED EXPERIENCE: (experience based on requirements in role and are consistent with business necessity)

Minimum of three years experience in recruiting or sales position, preferably in a college environment.

  • Customer Service oriented with strong verbal communication skills
  • Experience with leveraging a CRM tool to guide and track day-to-day activities
  • Experience in developing professional contacts, relationships, and lead generation through personal contact, as well as contact via telephone and other electronic means
  • Professional or heavy telephone experience
  • Ability to facilitate resolution of problems
  • Must possess the skills to self-initiate and manage a diverse set of activities/duties
  • Accuracy, organization, and attention to detail
  • Ability to work effectively under stressful time sensitive deadlines
  • Proficiency with a PC including, word, excel and student database systems
  • Ability to work independently, make sound decisions
  • Must be able to lead others toward closure/decisions and successfully close a deal
