Position Summary

The position has direct oversight of multiple athletics units, including: facilities, operations and capital projects, information technology, sports equipment and apparel operations, and team travel operations.

The Senior Associate Athletic Director reports to the Director of Athletics, serves as a member of the Athletics Executive Cabinet engaged in strategic planning and resource allocation, and as a sport administrator for designated sports programs.

Duties & Responsibilities

  • 1. Leadership of the athletics business office, its daily operations, and related personnel.
  • 2. Serve as a trusted senior advisor to Director of Athletics and the Athletics Executive Cabinet regarding the financial operations of the department and other areas of oversight.
  • 3. Oversight for the following athletics units: (a) Facilities, Operations and Capital Projects; (b) Information Technology; (c) Sports Equipment and Apparel; (d) Team Travel Operations; and other units and areas as assigned.
  • 4. Serve as a sport administrator for assigned sports programs; supervise and partner with head coaches to help advance towards achievement of team and departmental goals; support academic, competitive, and personal development goals of student-athletes.
  • 5. Oversight for athletics operating, scholarship, and capital debt budgets, including annual financial planning and routine account monitoring.
  • 6. Monitor all sport and support unit budgets; meet routinely with budget managers; maintain accurate financial records; ensure timely submission of required documents; run reports as needed; manage reconciliation of PCard and TCard transactions; etc.
  • 7. Management of all department contractual agreements, including athletic contests, facility rentals, contractors, etc.
  • 8. Develop and implement departmental business policies and procedures in accordance with applicable university, system, Conference, NCAA and related policies; ensure timely and compliant invoicing, payment, contract administration, and related business functions.
  • 9. Collaborate with University Budget Office on preparation and submission of athletics budget materials during annual budget process and ongoing financial matters.
  • 10. Prepare and submit routine and annual reporting requirements (e.g. NCAA Financial Report, EADA Report, Clery Act, FOIA, etc.) to the University, University of Illinois System, State, Conference, NCAA and other governing entities.
  • 11. Prepare and deliver budget and financial presentations to University and athletics staff and other internal and external stakeholders, as requested.
  • 12. Liaison to UI System, University, Conference and other committees and working groups related to business operations and related areas (OBFS, Purchasing, etc).
  • 13. Deliver exceptional customer assistance to athletics staff and student-athletes, campus and community constituents, and external clients and partners.
  • 14. Adhere to all NCAA, Conference, and University policies, rules, regulations, and operational procedures.
  • 15. Represent the University with professionalism, dignity, integrity, and ethical conduct.
  • 16. Perform other related departmental duties, as assigned.
  • Perform other related duties and participate in special projects as assigned.

Qualifications:

Minimum Qualifications

  • Bachelor’s degree in business, accounting, finance, or related fields.
  • Five or more years of demonstrated success in business, accounting, finance or related fields.
  • Experience managing full-time, part-time, and/or student staff.
  • Proficient in database, accounting, Microsoft Office, and related software systems.
  • Excellent organizational, management, communication, interpersonal, and problem solving skills.
  • Maintain knowledge of and compliance with NCAA, Conference, UI System and University rules that relate to duties and responsibilities of this position.
  • Demonstrated commitment to diversity and equity through recruitment, selection and supervision of personnel.

Preferred Qualifications

  • Master’s degree in business, finance, business administration, sports management or related fields.
  • Experience in collegiate athletics environment, whether on-campus or at the conference or national levels.
  • Experience in Division I collegiate athletics.
  • Experience leading units or teams of personnel.
