About The Role
The Search Coordinator will provide support to a functional search pod at Bespoke Partners. The Search Coordinator will provide administrative and project coordination to ensure efficiency throughout the executive search process for their Partner/pod. This position will serve as the key point of contact with clients and candidates, and the internal executive search team. The ideal candidate will be proactive and detail oriented, with excellent communication skills and the ability to work with an appropriate sense of urgency.
Duties & Responsibilities
Provide administrative support to a Partner on the executive search team or the Search Pod.
Manage and maintain the Partner's calendar, paying critical attention to detail on all calendar invites.
Execution of action items post-client and candidate calls, ensuring all tasks derived from calls are completed in a timely manner.
Schedule internal and external calls, video conferences and meetings across multiple time zones.
Coordinate candidate and Partner travel and interview schedules.
Maintain a high level of professionalism and poise while engaging in frequent correspondence and coordination with clients and their support teams, as well as internal team members.
Handle highly sensitive information in a confidential manner.
Assist with client deliverables, as appropriate.
Prepare and submit expense reports on behalf of the Partner.
Enter information into the firm's search database and CRM, with an emphasis on accuracy and data integrity, as needed.
Act as thought partner to Partner on internal and external initiatives.
Requirements + Experience
3-5 years of relevant experience
Excellent written and verbal communication skills, while paying critical attention to detail
Ability to work with a consistent sense of urgency in a fast-paced, quickly changing environment
Strong organizational skills with an ability to effectively multi-task and prioritize work
Responsive to internal and external correspondence in a timely and professional manner
Proactive, communicative and resourceful with strong problem-solving skills
Discretion and good judgement are a must
Team player with a positive and personable "can do" attitude
Proficiency with MS Office (Outlook, Word, Excel and PowerPoint) preferred
