Job Description: As a Remote Scheduling Assistant at Vegas Venture Planners, you will play a vital role in the smooth coordination and execution of our events. You will be responsible for managing schedules, appointments, and logistical details to ensure that our events are well-organized and executed flawlessly. This is a remote position, offering flexibility and the opportunity to work from anywhere.

Responsibilities:

  • Schedule Management: Coordinate appointments, meetings, and event logistics for clients and team members
  • Communication: Serve as a liaison between clients, vendors, and internal team members to ensure clear and timely communication of schedules and requirements
  • Calendar Maintenance: Maintain accurate and up-to-date calendars for events, including scheduling reminders and follow-ups as needed
  • Logistical Support: Assist with logistical arrangements such as venue bookings, travel arrangements, and vendor coordination
  • Documentation: Prepare and organize necessary documentation for events, including contracts, agreements, and itineraries
  • Problem Solving: Proactively identify and resolve scheduling conflicts or logistical issues to ensure smooth event operations
  • Client Support: Provide excellent customer service to clients by addressing inquiries, providing updates, and offering assistance as needed
  • Collaboration: Work closely with other team members to coordinate schedules and ensure alignment on event details and requirements
  • Ad Hoc Tasks: Assist with additional administrative tasks and projects as assigned by management

Requirements:
