Title: Registrar

Schedule: Typically M-F 9-5
Compensation: $18-20/h

Job Summary:
The Registrar at the Kalamazoo Nature Center is responsible for managing all aspects of program registrations. This includes overseeing the registration process through working with both the community and the internal management of program registrations. Key responsibilities include processing payments and invoices, troubleshooting issues with registration software, and maintaining positive, clear, and effective communication with our guests. As the main point of contact for registration, the Registrar will deliver high-quality service to registrants, coworkers, and community partners.
Additionally, the Registrar will handle some administrative tasks, data entry, running reports, and other duties as assigned by the supervisor. The ideal candidate will be an outstanding communicator and active listener who embraces the KNC mission. They should have a demonstrated ability to thrive in a diverse community, be highly organized, and be able to prioritize and manage multiple logistical tasks. The candidate should collaborate well within and among departments, demonstrate kindness and care towards all guests, potential guests, volunteers, and coworkers, and enjoy working in a fast-paced, fun, and occasionally unpredictable environment.

- None
- Attend Quarterly All Staff Meetings
- Participate in regular All Staff Workdays
- Support the planning of (particularly the registration component) and work during KNC’s annual Maple Sugar Festival, Raptor Run, Blue Moon Gala, and/or other special KNC events
- Collaborate with other staff to build program registrations, tracking, and reporting systems.
- Ensure that data is accurate and up to date to be shared with other staff and integrated with other systems for billing, licensing, grant reporting, etc.
- Maintain the program calendar to ensure accuracy in all reservations.
- Process applications and disperse financial assistance funds for camp, Nature’s Way Preschool, and other programs.
- Provide regular reports for all registration-based programs.
- Demonstrate exemplary customer service standards including a professional and positive attitude.
- Assist with on-site client greeting, camp check-ins, and other program support.
- Promptly respond to calls and emails from registrants.
- Assist with all registration needs such as (but not limited to) cancelations, rescheduling, invoices, etc.
- Collaborate with staff to provide a thorough understanding of KNC’s mission and programs to provide accurate information to clients.
- Ability to communicate effectively both verbally and written in English.
- Highest degree of honesty, integrity, and professionalism.
- Consistent attention to detail.
- Demonstrated ability to contribute to a team setting and accountability while working independently.
- Experience with analyzing data.
- Excellent organizational and time management skills.
- Excellent problem-solving abilities.
- Commitment to KNC mission and ability to communicate vision and mission internally and externally.
- Must pass a pre-employment background check
- 2-3 years' experience working in customer service, registration, and/or project organization required.
- Previous administrative experience in a fast-paced environment.
- Proficiency with Microsoft 365.
- Prior registration software experience.
- General office environment, lighting and temperature are adequate.
- On-site a minimum of 4 days a week with hybrid flexibility.
- Occasional evenings and weekends for special events and projects.
- Willingness to work outdoors in a wide range of weather conditions, occasionally for special events.
- Noise level is usually moderate/conversational, though it does increase during special events or programs.
- Occasionally required to lift, move, carry, pull, and/or push files/objects up to 20-pounds while sitting, standing, climbing or walking.
