The Rochester Psychiatric Center is currently seeking qualified individuals to fill nine (9) office assistant positions in various departments within the facility. This includes roles in the SHTA nursing staff, Communication Department, Accounts Payable Department, Work Control Center, and the Safety Department. As a Receptionist/Secretary, you will play a crucial role in supporting the day-to-day operations of these departments, ensuring efficient time and attendance tracking, communication management, invoice processing, office duties, and other essential tasks.

Job Duties
SHTA Nursing Staff
Maintain time and attendance data entry for the regional forensic unit
Manage staff time, attendance, accrual usage, and overtime
Perform general office tasks, including answering phones and filing
Communication Department
Operate the Communication Desk, screening patients and visitors
Enter personal information into the Facility Visitor Management System
Respond to incoming calls and operate the facility's switchboard
Maintain keys to various areas and provide coverage seven days a week
Provide coverage in other facility departments as needed
Accounts Payable Department
Review and process invoices
Conduct clerical audits for programs
Compile data for report preparation
Ensure timely payment of invoices
Work Control Center
Utilize various computer systems to generate work orders
Complete orders, file documents, and perform data entry
Maintain the schedule for vehicle usage and radio dispatching
Provide backup support for the Secretary 1
Safety Department
Process time and attendance data for Safety Officers
Run T&A reports and file department documents, including EOC reports
Order supplies and submit purchase requests
Schedule Communications Desk staff and assist when needed
Assist in the Mail Room when required
Preferred Skills
MS Office experience is preferred.
Misc. Information
Shift timing: Monday to Friday, 7 or 7:30 am start, 37.5 hours/week, no holidays, nights, or weekends.
