Receptionist & Admin Assistant

Position Summary

A friendly and outgoing professional to welcome Visitors, Customers, and Staff to the Company’s facilities, while managing the telephone system and acting as the admin/accounting assistant.

The FarrWest group of companies serve the Environmental Engineering and First Responder industries.

We seek an individual who can honor the service our customers provide to the community and enthusiastically make our First Responders & Engineers feel appreciated every time they visit FarrWest.

To be successful in this role, the ideal candidate will have a warm welcoming personality, professional attire & appearance, excellent written and verbal communications skills, competency in Microsoft Office and QuickBooks, and some basic admin/accounting skills. Prior receptionist and accounting experience is helpful. On-the-job training will be provided for candidates with the desired soft skills and attributes.

Job Responsibilities

Receptionist:

  • Greet visitors and customers with a warm, positive, welcoming attitude at all times. Form professional and friendly relationships with frequent customers.
  • Professional attire and grooming are key.
  • Process incoming customer requests whether via the telephone or in-person, maintaining accountability for the customer until successfully passing customer and their requests to the appropriate colleague.
  • Answering the telephone with a professional, welcoming manner, screening and forwarding calls, as necessary.
  • Announcing customers, as necessary.
  • Retrieve, receive, sort, and distribute incoming deliveries and mail.
  • Managing the office reception area including coffee & water bar, product showroom, maintaining presentable, clean, and sanitary environment.
  • Restocking front office supplies and assisting with a variety of administrative tasks assigned currently or in the future.

Admin Assistant

  • Cross-train on processing closed sales orders into invoices in QuickBooks and confirming supporting documentation has been scanned to the file.
  • Answering customer invoice inquiries and making collection efforts on past due invoices.
  • Processing credit card payments for call-in and walk-in clients.
  • Cross-train on processing incoming accounts payable invoices to QuickBooks after securing proper approvals and ensuring charge codes are accurate.
  • Cross-train on matching AP invoices to purchase orders, reporting discrepancies to the purchasing team, and closing fulfilled purchase orders.
  • Making email and phone call inquiries to suppliers when necessary to resolve issues.
  • Processing customer and vendor account applications.
  • Assisting Accounting Manager with various accounting or administrative tasks as needed.

Job Requirements

  • Passionate and dedicated to the absolute best in customer service no matter the task or level of supervision.
  • Respect and admiration for First Responder and Engineering professionals.
  • Ability to independently manage a schedule to make successful delivery of tasks, projects, responses to inquiries and daily, weekly, monthly duties in accordance with accounting deadlines.
  • Calm, methodical, and friendly even while under tight deadlines and high volumes of transactions on certain days.
  • Ability to manage phone system and admin/accounting duties simultaneously.
  • High level of accuracy and rapid data entry.
  • Process oriented work methodology and dedication to following rules.
  • Good judgement in communicating with customers and resolving customer issues.
  • Positive attitude and highly collaborative team member.
  • Impeccable attendance and keeping the same daily schedule are of utmost importance.
