Real Estate Experience: Proven experience as a Real Estate Assistant or in a similar role within the real estate industry
Organizational Skills: Excellent organizational and time management skills to manage multiple tasks and priorities efficiently
Communication Skills: Strong written and verbal communication skills to interact professionally with clients, team members, and external partners
Technical Proficiency: Proficiency in project management and communication tools such as Asana, Slack, and Microsoft Office Suite
Attention to Detail: High level of attention to detail to ensure accuracy in all tasks, from scheduling appointments to preparing documents
Confidentiality: Ability to handle confidential information with the utmost discretion and professionalism
Problem-Solving Skills: Strong problem-solving skills to address and resolve issues that may arise in a timely manner
Remote Work Experience: Experience working with remote teams and managing communication across different locations
Client Service Orientation: Strong client service orientation to provide excellent support to clients and enhance their experience with the agency
Adaptability: Ability to adapt to changing priorities and work in a fast-paced environment
Market Knowledge: Knowledge of real estate market trends and practices to support property listings and client inquiries effectively
Responsibilities
Answering Calls: Respond to inbound calls with accuracy, professionalism, and in a timely manner
Return all missed calls promptly
Making Calls: Make outbound calls to clients, potential buyers, and sellers, ensuring clear and professional communication
Handling Texts: Answer inbound texts with accuracy and professionalism
Send texts to clients, potential buyers, and sellers as needed
Managing Emails: Answer emails with accuracy, professionalism, and in a timely manner
Ensure all emails are replied to and sorted into their respective folders
Team Communication: Communicate effectively and efficiently with other team members
Property Management: Add and cancel requests for property showings, inspections, and maintenance with accuracy
Scheduling: Schedule property viewings, inspections, and other appointments for clients and team members
Client Interaction: Interview potential clients to ensure they are good candidates for our real estate services, providing relevant information about our agency
Onboarding: Confirm that client onboarding paperwork is completely and correctly filled out
Request additional documentation and information as needed
System Management: Add new clients and properties to the systems: Email folders, CRM profiles, and QuickBooks for billing and payroll (employees only)
Calendar Management: Manage client and employee calendars for availability and requests
Timesheet Confirmation: Ensure timesheets from employees are submitted on time and correctly
Documentation: Assist in preparing and managing real estate documents such as contracts, leases, and agreements
Market Research: Conduct market research to support property listings and client inquiries
Advertising: Assist in creating and managing property listings on various real estate platforms
Lead Generation: Support lead generation efforts by researching potential clients and properties
Database Management: Maintain and update the real estate CRM with accurate and current information
