Responsibilities:

  • Manage the assigned portfolio of commercial real estate leases, overseeing interpretation and documentation
  • Act as the primary point of contact for landlords and subtenants, regarding lease and rent issues
  • Act as the primary point contact for internal parties, regarding lease matters and interpretation questions
  • Process lease confirmation certificates, estoppels, SNDAs and other landlord requests, as required
  • Administer insurance certificates and ensure ongoing compliance.
  • Manage financial aspects of leases, including:
  • Processing of monthly landlord statements/invoices and annual CAM reconciliations
  • Oversee the administration of construction allowances, rent abatements and security deposits
  • Ensure lease obligations are processed in accordance with the lease, and ASC-842’s lease accounting standards
  • Oversee the administration of utility transfers on/off and monthly payments
  • Administration of vendor set-ups and record maintenance
  • Processing construction project purchase orders, change orders, invoices and lien releases
  • Preparation of the annual budget and mid-year reforecast
  • Ensure accuracy and completeness of lease data in the lease management system, including:
  • Legal Entities
  • Key dates for lease commencements, expirations, option notice dates, rent escalations, etc.
  • Accurate base rent and additional rent expense information
  • Property and operations related information, required to feed enterprise applications
  • Repair & maintenance obligations, and tenant improvement obligations
  • Key contact information, such as landlords, property managers and rent remittance contacts
  • Lease summaries/abstracts for easy review by others
  • Filing of legal documents including leases, amendments/addenda, and binding correspondence (ex: notices exercising options, lease commencement certificates, etc.)
  • Prepare recurring and ad-hoc reports regarding lease and property information.
  • Communicate upcoming critical dates regarding lease commencements, expirations, expansions, and upcoming option notice dates.
  • Coordinate with third party service providers (brokerage, utility consolidators, and technology) as needed.


Qualifications:

  • Minimum of 3-5 years related experience
  • Understand complex commercial real estate contracts, and clearly identify rights and obligations across a variety of contract types and lease transactions
  • Excellent communication skills with ability to communicate clearly and effectively with all levels of management and external partners.
  • Ability to thrive in a fast-paced environment with little direct supervision
  • Proactivity / Initiative / Self-Starter
  • Must have intermediate skills in Microsoft Office, including Word, Excel and Outlook, as well as Adobe Acrobat Professional
  • Project Management experience a plus
  • At least 3 years’ experience in a lease administration and/or lease payment software
  • Paralegal certification a plus.
  • May supervise a junior-level associate.
  • Ability to Travel <10% of the time
