The Rates Specialist will work with the Rates Team to manage and validate rate implementations and maintenance at the Firm, client, and matter levels. This will include responding to requests from the Client Operations department, supporting requests to implement agreed rate terms with clients, coordinating the submission of rates to ebilling clients, reviewing client guidelines to set-up approved exceptions, troubleshooting client, matter, and timekeeper rate issues, and ad hoc reporting as needed.


This is a high profile role within the Firm, and includes daily interactions with clients, partners and business services staff. Consequently, a high level of personal confidence and professionalism is required.


Responsibilities


  • Support monthly rate maintenance for clients including identifying new timekeepers and ensuring rates are in compliance with applicable arrangement agreement
  • Assist with the implementation and maintenance of Firm rates and discounts in the Finance System
  • Proactively review and validate current rate arrangements and cost restraints against engagement letters and Outside Counsel Guidelines
  • Provide assistance to Client Operations members with rate issues that are escalated
  • Coordinate all rate requests and arrangements for assigned clients
  • Ensure that rate issues are attended to on a timely basis
  • Closely monitor the status of pending rates and rates that are due to expire
  • Monitor progress of rate requests and escalate to Supervisor when necessary
  • Provide rate reports and analysis as requested by partners and management
  • Ensure adherence to Firm policies
  • Maintain current documentation of existing practices
  • Special projects as assigned


Qualifications


  • Undergraduate degree required; exposure to Legal Finance or Accounting required
  • A minimum of 3-5 years in a in related field with legal billing preferred
  • Prior experience in rates administration
  • Strong attention to detail and organization skills
  • Strong Excel and analytical skills
  • Ability to efficiently execute, review and organize high-volume of client case activity
  • Strong knowledge of Aderant Expert Rates
  • Ability to work under pressure and meet deadlines
  • Ability to manage high volume portfolios with great attention to detail and ability to prioritize
  • Superb interpersonal skills; must be a team player and have superior customer service skills
  • Strong written and verbal skills
  • Flexibility to work overtime as needed




This position will require physical presence in Proskauer’s offices on a regular basis (at least 3x per week, or more, if it becomes the policy of the Firm or as business needs require). The anticipated compensation range for this position is $75,000 - $100,000. The actual salary offered will be based on a number of factors including but not limited to the qualifications of the applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
