Are you meticulous, organized, and passionate about managing financial records? We are seeking a dedicated individual to join our team as a QuickBooks Bookkeeping Specialist I. In this role, you will be responsible for maintaining accurate financial records, including purchases, sales, receipts, and payments. You will collaborate closely with our management team, utilizing QuickBooks for project accounting, managing project financial details, distributing purchase orders, and overseeing project invoicing in QuickBooks Online. The ideal candidate will possess a solid understanding of accounting principles and demonstrate proficiency in QuickBooks.

Key Responsibilities

Process accounts payable and receivable promptly.

Reconcile bank statements accurately.

Prepare monthly financial statements and reports.

Monitor financial transactions to ensure compliance with company policies.

Maintain and update project records in QuickBooks, ensuring accuracy and completeness.

Review time logs to ensure proper project categorization and alignment with supplier records.

Record purchase order details accurately, including vendor information, items, quantities, and prices.

Collaborate with vendors and internal departments to obtain necessary information for purchase orders and projects.

Ensure data consistency and accuracy by collaborating with finance and project management teams.

Monitor purchase order statuses and follow up on outstanding or incomplete orders.

Maintain confidentiality of financial data.

Assist in developing budgets and financial forecasts.

Communicate effectively with clients, vendors, and team members regarding financial matters.

Qualifications

Bachelor's degree in Accounting or Business Administration.

Minimum of 3 years of bookkeeping experience with QuickBooks Online.

Experience with managing QuickBooks 'Projects' is advantageous.

Proficiency in Microsoft Office Suite, particularly Excel.

Strong understanding of accounting principles and practices.

Excellent organizational skills and attention to detail.

Familiarity with purchase order processes and project management principles.

Experience in data entry, accounting, or finance.

Ability to meet deadlines and manage multiple tasks efficiently.

This position offers the flexibility of full-time remote work.
