Description/Job Summary

Lindahl Reed is hiring a Proposal Specialist to support the company’s business development staff. This position will be an integral part of our business development team, with responsibility for collaborating with proposal teams to craft outstanding winning responses to solicitations, including Requests for Proposals (RFPs), Notices of Opportunity (NOOs), Sources Sought Notices (SSNs), and Requests for Information (RFIs). Reporting to Vice President of Strategic Initiatives, the Proposal Specialist will remain dedicated to opportunities from solicitation release through proposal submission. In addition to supporting active opportunities, the Proposal Specialist will work to strengthen the proposal process through process improvements and curation of written and graphical content. They will also support branding initiatives and reporting requirements, as needed.

Position Responsibilities

  • Drive proposal team success through strong leadership, diligent planning, careful organization, and collaboration with management, authors, and subject matter experts.
  • Support compliance matrix development to ensure each response meets solicitation requirements.
  • Define milestone schedule, organize and run proposal team meetings, evaluate team progress against plan, identify bottlenecks, and proactively address challenges.
  • Monitor proposal content development to verify that it is high-quality and compliant.
  • Develop proposal outline and populate material into starter files for authors.
  • Coordinate management reviews, author edits, and production timeline.
  • Format and produce documents as Adobe PDF files.
  • Develop processes and workflows to improve proposal process efficiency.
  • Curate written and graphic content to develop libraries of material for reuse as starter content for future efforts.


Qualifications, Skills, and Experience:

  • Bachelor’s degree in business, marketing, communications, or a related field.
  • At least 5 years of proposal management experience.
  • Expertise with MS Office suite, Adobe Acrobat, and Adobe InDesign.
  • Experience with federal government solicitation responses.
  • Excellent written and verbal communications and organizational skills.
  • Ability to meet strict deadlines with 100% accuracy in meeting proposal formatting requirements.
  • U.S. citizen or permanent US resident.


Preferred Skills:

  • Familiarity with Federal Compass or similar CRM software.
  • Self-starter, an ability to work both independently and as part of a highly dynamic collaborative team.
  • Ability to balance multiple long- and short-term projects and competing priorities.
