Proposal Contract Manager

Harvest Integrated Research Organization(HiRO) is a globally-oriented, innovative boutique CRO dedicated to elevating cross-border clinical trial pathways. With global operations and integrated capabilities, the company provides its clients with a full range of solutions and services. We have expanded to the US and are searching for an experienced Proposal and Contract Manager to join our team.

The position is responsible for managing and coordinating the development of high-quality, competitive proposals and overseeing contract negotiations and management. This hybrid role involves close collaboration with cross-functional teams to ensure that proposals and contracts align with client needs, company capabilities, and strategic objectives. This person will play a key role in content creation, proposal and contract management, and continuous improvement of related processes.

Key Responsibilities:

Prepare proposals based on sponsor’s requirements:

• Work closely with the opportunity owner/BD to understand client needs and strategic priorities
• Identify key stakeholders for proposal preparation
• Lead Strategy Call discussion with external and internal stakeholders to determine study conduct and prepare appropriate budget
• Proposal content includes budget estimates for the services and PPT/text to align proposal strategies with the company’s business objectives, capability and market positioning, as well as delivery plan

Contract preparation:

• Contract type includes Master Service Agreement, Start-up Agreements, Work Orders and Change Orders etc.
• Ensure the service scope and budget within contract is appropriate
• Lead contract review process by leading discussion with internal and external stakeholders
• Prepare payment schedule
• Negotiate contract with clients as required

• Highly organized and attention to detail
• Ability to meet strict deadlines
• Ability to lead meetings and communicate effectively
• Excellent numeracy skills
• Excellent analytical and problem-solving skills
• Familiarity with the CRO or pharma industry
• Experience with proposal or contract management
• Knowledge of relevant software (Power Point, Word, Excel, Teams)
• Bachelor’s Degree in Life Science, Business, or equivalent experience.
• Business level in English language in reading, writing and speaking.
