Job Title: Project Management Specialist II

Duration: 12 months (Temp to Hire)

Location: Columbus, OH 43215

Shift Time: 8:00am - 05:00pm, Mon to Fri , Expect 4 days per week onsite, and one hybrid during onboarding/training (~2 months). 3 days onsite will be the ongoing expectation

Required

  • 5+ years of experience working in professional environment.
  • 2+ years Project Management experience
  • Excellent organization skills and ability to multi-task while working with multiple stakeholders.
  • Ability to execute multiple projects.
  • Proficiency with MS Office tools: PowerPoint, Outlook, Word, Excel, Teams.
  • Ability to create professional communications using Word and PowerPoint while adhering to Corporate Identity standards.
  • Demonstrated ability to work independently and take initiative to move projects forward.
  • Demonstrated ability to discern importance and urgency of topics raised and escalate issues as needed.
  • Demonstrable ability to communicate professionally via email, phone, and in-person.
  • Hybrid work schedule. 3 days in-office per week required. 4 days in-office required during on-boarding/training.

Preferred

  • Project management or Agile certification (PMI-ACP, CSM, CSPO, ACS-CF, etc.)
  • Experience working in an agile environment, maintaining Jira and Confluence.
  • Experience building and maintaining SharePoint Online site.
  • Experience maintaining project plans using MS Project.
  • Associate degree in business, finance, marketing, or related field.

Responsibilities

  • Manage GRIID Log (Gaps, Risks, Issues, Impacts and Decisions) and Project Plan in Jira and Confluence. Escalates issues as needed.

Develop dashboards and reports in Jira and Confluence to monitor workstream and overall initiative status.

Together with subject matter experts, discovers and documents dependencies and tasks in Jira.

  • Create high-visibility communications and presentations to provide status updates to stakeholders and executives.
  • Maintain up-to-date content and relevant messaging on Confluence, Jira, SharePoint, Outlook, and Teams.
  • Provide Agile transition support, guiding the team in continuous improvement of agile practices.

Ensures ongoing relevance of Confluence content for BOBCAT team and stakeholders.

  • Organize and maintain Teams pages and files to ensure that content is current, accessible, and easy to navigate.
  • Identify process improvement opportunities and lead implementation.
  • Support project working sessions, stakeholder alignment meetings, steering committees, and document meeting minutes. Follow up with appropriate parties on meeting tasks and outcomes.
  • Coordinate meetings ensuring availability of rooms, participants, equipment, and resources as needed for initiative activities, while also collaborating with Sub-Product Owners and Workstream Leads to manage conflicting meetings and activities.
  • Support IMO (Initiative Management Office), Operational Readiness, and IPP (Integrated Project Plan)/MPM (Multi-Project Management) workstreams’ with creation and distribution of written communications and plans.
  • Manage department email box, calendars, and distribution lists.
  • Order supplies needed for BOBCAT Initiative team.
  • Assist in business travel organization and reimbursement.
  • Promptly escalate decisions and issues to appropriate IPP/MPM team members and/or BOBCAT leadership team.
