Position Summary

Responsible for the planning and execution of special projects to support the Department of Permits, Licenses and Inspections (PLI). The position will be responsible for project coordination, community outreach and education, report and document maintenance, and statistical reporting.

NOTE : The City of Pittsburgh, as a matter of policy, conducts pre-employment and promotional background investigations on all candidates being considered for positions. Qualifying Requirements

Your City of Pittsburgh application will be reviewed and your work experience and education/training will be evaluated to determine if you meet the qualifying eligibility requirements listed below for this position. You will be sent an eligibility letter regarding your eligible/ineligible status.

  • WORK EXPERIENCE: The application must clearly show two (2) y ears of full-time experience in project coordination, government services, permitting or licensing, or a related field . (Less than full-time experience will be calculated on a pro-rated basis.)
  • EDUCATION/TRAINING: The application must clearly show an Associate's Degree from a fully accredited institution in Project Management, Data Analytics, Project Coordination, Public Administration, Government Services, Political Science , Building Trades and/or sciences, Architecture or a related field . (See NOTE under the General Application Requirements Section above regarding the verification of education/training) .
  • EQUIVALENCY: Education/training and/or work experience may be substituted on a year for year basis if the application clearly shows the required number of years to meet the Total Qualifying Requirement for this position (based on the sum of work experience and education/training listed above) . The Total Qualifying Requirement is four (4) years . (See NOTE under the General Application Requirements Section above regarding the verification of education/training) .

POSITION DUTIES

  • Assists in the planning, maintenance, communications, and documentation of special projects within the department, and produces relevant project-based statistics.
  • Define s project scope, goals, and deliverables in collaboration with department leadership .
  • Learns and works with emerging technologies to incorporate best practices into the operations within the department.
  • Coordinates internal resources and third-party vendors to execute projects successfully and manage stakeholder relationships and expectations.
  • Develops project tracking mechanisms and ensures that all special projects are completed on-time and within scope.
  • Helps to maintain the City’s website , newsletter , and other communications .
  • Identifies problems in all phases of work on assigned projects; advises City supervisor on a timely basis; recommends and implements approved corrective action in order to adhere to schedule and project budget.
  • Tr oubleshoots technical issues with the department’s software of record, OneStopPGH .
  • Creates and maintains comprehensive project management reports.
  • Creates reports and maintains data using current enterprise-wide licensing, permitting, and inspection software for special projects and all other uses.
  • Works closely with vendor staff to ensure work tasks are completed on schedule and in keeping with the project scope of work.
  • Develops tools and templates that can be used to define project goals and objectives , track ongoing issues, and manage the project timeline and key milestone dates.
  • Creates and manages a detailed work plan for each assigned project to ensure all tasks, resource assignments, and key dates are tracked for the full project development lifecycle.
  • Utilizes other legacy data systems, including Microsoft Access and Excel, for statistical reporting to internal and external stakeholders.
