Kaeppel Consulting is seeking a Project Coordinator to work for a client in the healthcare industry. This will be a temp to hire role and will be 100% Remote.

Competencies:
Moderate to high skill level in Excel. Must be very comfortable at the onset navigating and tracking a large volume of data within an excel workbook with multiple worksheets in a very fast paced environment. This would include the use of Excel filters and hiding of columns & rows. Also the ability to quickly search for data and document in real time in Excel worksheets with large amounts of columns and rows. Comfort understanding very basic calculations (these would be built in, but an awareness of how they operate and the impact) and use of drop down/multiple choice cell functions
Comfort with utilizing Zoom chat frequently (or comparable online chat function) to carry on multiple, high touch communications all throughout the day to receive and provide updates to key stakeholders (primarily Editors and Sr. BM)
Ability to multitask and thrive in a fast paced, shifting environment. Priorities and tasks may shift and adjust throughout the day based on need. Would be ideal if they enjoy a fast paced, multifaceted working environment as a baseline
Occasional after hrs work. At times the tracking/crosschecking functions take place in the evenings with the Production team to meet critical deadlines. A flexible schedule will be key
High level of comfort with Outlook functions and meeting scheduling
Self-directed
Detail oriented. Must be proficient in reviewing extensive documents & line by line details for tracking purposes and comparing to their Excel tracker. This role will be the one to ‘catch’ any missing data points at a very detailed level within the submission templates
Must be available and online during core client's business hrs (8:30-5 ET). Must have ability to Zoom chat and do instant Zoom meetings throughout the working day. This would not be a ‘work at your own pace behind the scenes’ role but fully interactive, working directly with multiple stakeholders in real-time all throughout the day. Availability and consistent ‘online’ presence will be critical due to the fast pace and critical deadlines
Skilled in utilizing shared file systems (Box, OneDrive) to review documents and track progress. There will be multiple folders to utilize and review tracking updates. Also high level of competency in managing version control of documents with multiple changes that will need to be organized. Will need to upload the most UTD versions on OneDrive at a frequent cadence for reporting so comfort uploading and saving multiple versions of documents will be key
Tasks:
Working with Editors to track submission updates in Excel. This RFR has upwards of 2,200 unique data points for submission. These will need to be tracked throughout multiple template types and across our HMA partner feedback workflow, so this will be the main function
Review of multiple Word document templates to identify gaps and missing details utilizing their Excel tracker and State issued RFR as reference documents. This will also be a key function
Setting up and leading weekly meetings with Editors and Sr. BM to review tracking progress, take notes on next steps and keep the information organized within the Excel tracker
Responsible for managing version control of master Excel tracker and regular uploads of the most recent version on our OneDrive platform
Manage tracking of in/out flow of templates with HMA consulting firm. Track outgoing templates to HMA and incoming templates from them with feedback. Must be comfortable tracking information that is at multiple checkpoints across the system in an organized and accurate workflow via OneDrive (we can train OneDrive flow if they are already comfortable with any type of shared file system workflow)
Some minimal Word document templating/formatting may be needed. The Lead Editor would provide all of the needed education for this so would not need proficiency, just a willingness to pitch in here if needed based on bottlenecks in the process
Other duties as assigned. Based on bandwidth and skill level, may incorporate additional Coordinator tasks as needed based on bottlenecks. Would provide clear training and direction on any additional tasks added
