Geosyntec has an opportunity available for an experienced Project Controls Professional – Project Professional to join our Geohazard Management Practice. This position can be based in our Houston or The Woodlands, TX office or the Milwaukee, WI or Bedford, NH office. This position provides administrative and accounting support to our growing geohazards project work, and interacts directly with Geosyntec Project Managers, billing and accounting staff, as well as with clients, vendors, and subcontractors, as needed. The selected candidate must be flexible and able to deal with a variety of requests, adapt to changing workloads and priorities, and possess extremely strong organizational skills.

Essential Duties And Responsibilities

  • Interface with Project Administrator and Technical Project Manager to ensure compliance with contract administration obligations;
  • Prepare proposal and project setups, client and subcontractor contracts follow up, employee expense reports preliminary review, and associated administration;
  • Prepare subcontractor bid/quote requests for proposals and projects;
  • Maintain subcontractor files and track associated invoices to ensure prompt processing and payment;
  • Review pre-bills and draft progress reports for invoicing;
  • Monitor and track budgets in consultation and prepare change orders;
  • Track purchases through purchase orders and subcontracts and verify against budget for compliance and accuracy; process for payment in accordance with company procedures;
  • Compile and distribute project financial data, including percent completions and weekly/monthly financial reports. Identify variances in certain elements and bring to the attention of the Technical Project Manager and Project Director;
  • Organize and maintain electronic project files, including but not limited to proposals and reports;
  • Coordinate and prepare the health and safety plans with input from the project team and/or the Health and Safety Officer;
  • Track project deadlines and schedules to ensure timely senior review and submittal of deliverables to the client;
  • Interact with and serve as liaison between other departments, branches, subcontractors, agencies, staff and clients with regards to project matters;
  • Collect, prepare and perform an initial analysis of the following data:
  • Basic analysis of cost and schedule variances
  • Progress data and review of performance trends;
  • Labor hours and labor cost requirements versus budget limitations; and
  • Actual cost to funding limitations.
  • Project earned value.
  • Track all changes or potential changes to project scope, bringing any issues to the attention of the Technical Project Manager and Project Director; and
  • Serve as liaison with clients’ accounts payable department staff to ensure that proper procedures regarding invoicing have been followed to minimize a delay in prompt payment of invoices and resolve problems as necessary.

Education and Licensure

  • Bachelor’s degree in engineering, construction management, business administration, accounting, or finance , business administration, or project management . (required)
  • Advanced degree the same . (preferred)

Skills, Experience And Qualifications

  • At least 7 years of progressive experience as a contract administrator, project or cost analyst including knowledge of accounting principles, progress and performance data as well as earned value concepts and principles; or any equivalent combination of education and experience. (required)
  • Ability to read and comprehend moderately complex instructions, contracts and subcontract agreements, correspondence, and memoranda; and ability to effectively write moderately complex correspondence and memoranda. (required)
  • Knowledge of job costing, contract file administration and comprehension of project revenue. (required)
  • Working knowledge of Microsoft Office and proficiency in Excel. (required)
  • Prior experience with BST, Deltek, Wind2 accounting systems. (preferred)
  • Accurate data entry, writing and editing skills. (required)
  • Ability to work in a fast paced, detail and deadline-oriented environment and manage multiple projects simultaneously. (required)
  • Ability to effectively present information to Project Managers, and other internal clients. (required)
