Project Administrator / Office Manager – Chapel Hill, North Carolina
Our Chapel Hill office is looking for a highly motivated team member with a strong background in office and project administration. Candidate must have excellent communication and organizational skills, plus be able to work with people at all levels of the firm. This position performs a wide range of responsibilities in architectural administration process and office management.

This position performs a wide range of responsibilities in architectural administration process and office management.
Background/Education
- 5 years’ experience in administrative support related to construction, architecture or engineering.
- Ability to handle multiple responsibilities, deadlines and interact effectively with others in the workplace is an essential function of the job.
- Good computer skills and advanced working knowledge of Microsoft Office
- Newforma, Deltek Vision and AIA Software experience a plus
- Excellent Organizational Skills
- Familiarity with construction trades and design and construction terminology.
- Experience in producing reports for project management; maintenance of records; and understanding the close-out process for construction projects.
- Ability to prioritize and to use appropriate judgment
- Ability to work effectively in a deadline driven environment with frequent interruptions; adapt to changes in priorities; complete multiple tasks in a timely and accurate manner; ability to provide support to more than one individual
- Coordination of Project milestones / Construction Documents / Construction Administration / Project Close-Out
- Document Management / Contract Administration
- Assist with tracking permit applications & coordinating permit revisions
- Assist with maintaining record documents and posting as-built information.
- Upkeep of contact database; Electronic Filing of project data
- Compilation and distribution of specifications
- Preparation of expense reports
- Coordination with IT on technical maintenance and updates
- Office Administration: Front Desk Duties, Office & Kitchen Clean-Up, Office Supplies and Vendor Relations
- Ordering lunches for office wide events, including set-up and clean-up
- Occasional Event Planning for office gatherings
- Maintaining Office and Interiors library
- Maintaining meeting spaces
- Great collaborator and communicator – excellent verbal and written skills are important
- Ambitious self-starter with get-it-done attitude who strives for results and performs well on complex projects
- Detail and process oriented, yet open to change and motivated by innovation
- Good sense of humor!
