General Summary:

With oversight and direction from the Program Director & Program Coordinator, this position is responsible for the coordination and the administrative support of the program. This position will be cross trained as a coordinator to provide coverage and assistance to the Program Coordinator. The Program Assistant is responsible for assisting the Program Coordinator and Faculty under general direction, assists in the coordination of the program in compliance with the Accreditation Council for Graduate Medical Education (ACGME) guidelines; processes registrations; coordinates the application and evaluation process; creates and maintains databases; compiles and distributes various schedules; provides administrative support.

Responsibilities:

  • Provide administrative coordination to the program coordinator to include organizing program calendar, scheduling meetings, attending meetings as required and collecting various committee meeting minutes and related project materials, drafting correspondence, taking and responding to phone messages and organizing email messages.
  • Provides general administrative support (i.e. makes copies, files documents and sends/receives faxes).
  • Assists Program Coordinator in completing administrative paperwork, including Program Data Sheets, spreadsheets with information about incoming/continuing/terminating, entering schedules/ lectures/recording attendance in New Innovations.
  • Coordinate department meetings and events. Schedule and prepare meeting room and create agenda for monthly meetings, take minutes, set-up AV equipment, catering.
  • Track status of licensures, certifications and communicates updates to HR Office and GME.
  • Assists with preparation of recruiting activities applicant folder prep, room set-up, catering requirements. Assists with arranging and executing exam days.
  • Assists with set-up/breakdown of Wednesday didactics including AV set-up and catering.
  • Assists Program Coordinator with other program duties as needed.
  • All other duties as assigned within the scope and range of job responsibilities.

Required Education, Credential(s) and Experience:

  • Education: High School Diploma or GED ;
  • Credential(s):
  • Experience: Required: Two (2) years of related work experience. Preferred: Four (4) years of related work experience. Experience in UME/GME setting preferred
