Payroll & Billing Coordinator

Salary: $55,000-$75,000/ annual

Blackstone Consulting, Inc. is seeking a Payroll & Billing Coordinator


JOB SUMMARY:

The Payroll and Billing Coordinator plays a crucial role in ensuring the smooth operation of the company's financial processes. This position is responsible for managing and executing all aspects of payroll preparation and billing activities for their designated area, including daily reconciliation of employees scheduled vs. worked hours.


Schedule & Payroll Validation:

• Preparing & validating weekly and/or bi-weekly payroll for all employees

• Monitor Operations team’s activity by ensuring the schedules are accurately maintained in accordance with company policy and applicable client and/or collective bargaining agreements.

• Audit daily shifts after being confirmed by the operations team.

o Bring forth any items that need to be addressed by Operations team.

o Provide guidance and direction in accordance with compliance protocols.

o Ensure billable hours have been correctly reconciled.


Billing and Accounts Receivable:

• Reconcile Bi-Weekly Billing Reports with Finance Partner to prepare the site’s invoices for upload.

• Generating and reconciling billing invoices for clients or customers

• Monitoring accounts receivable and following up on outstanding invoices

• Ensuring timely collection of receivables

• Minimizing the company's exposure to bad debts

• Maintain invoice validation tool(s) submission and supporting documentation required for billing cycle uploads


Financial Reporting and Analysis:

• Collaborating with the accounting department to ensure accurate financial reporting.

• Prepare Valiant Reports to share with Site Leadership, if or as directed, for financial accountability

• Analyzing payroll and billing costs and identifying opportunities for cost savings


Compliance and Record-Keeping:

• Maintaining compliance with federal, state, and local payroll and tax regulations

• Keeping accurate and up-to-date records of payroll and billing transactions

• Ensuring confidentiality of sensitive information

• Maintain appropriate employee database(s) with weekly updates based on HR Reports provided, i.e., New-Hires, Terminations, Billing Matrix info, etc.

• Track Work, Purchase, and Change Orders and other relevant service requests from customers, ensuring work performed is authorized and in alignment with master schedules.


Process Improvement:

• Continuously improving payroll and billing processes for efficiency and accuracy

• Developing and implementing process enhancements

• Staying updated on industry best practices and technologies

• Attend weekly TA meetings and BCI Finance meetings to maintain all duties associated with our finance operations cycles



Minimum Experience:

  • Associate Degree or 2 years of equivalent experience.
  • 2 years in payroll processing and/or billing
  • Proficiency in any payroll and scheduling software, e.g. ADP, Paychex, Valiant, TrackTik, etc.
  • Training in Accounts Payable and Accounts Receivable processes
  • Proven track record of leading procurement transformations and implementing best-in-class P2P processes


Preferred Experience:

  • Bachelor's Degree
  • Specialization in payroll management, billing, or financial management
  • 4+ years in payroll processing, billing, scheduling and/or finance
