Position Summary

Operations Support Coordinator will provide high-level administrative, operational, and project support to the KSM People Team, including Learning & Development, Culture & Experience, HR, and Talent Acquisition. The ideal individual can exercise sound judgment in various situations and maintain a balance among multiple priorities.

Responsibilities

  • Provides administrative support to the KSM People Team, exercising confidentiality, tact, and diplomacy.
  • Assists with event management and planning of various firmwide events, activities, and programs (such as KSM Experience, Halloween Fest, etc.).
  • Assists with logistical planning and administrative support for education courses with the Learning & Development Team.
  • Assists with CPE compliance tracking with the Learning & Development Team.
  • Maintains PI database for the Culture & Experience Team.
  • Coordinates the college recruiting schedule, assists with event planning for recruiting events, and schedules interviews for the Talent Acquisition Team.
  • Reviews and updates KSM’s Glassdoor page for the Talent Acquisition Team.
  • Assists with the annual Independence and Investment Process for the HR Team.
  • Coordinates employee onboarding and offboarding activities for the HR Team.
  • Prepares sensitive and confidential materials.
  • Provides some basic administrative support, including ordering KSM branded merchandise, maintaining employee database records (including PE records), and scheduling meetings.
  • Supports special projects and other tasks assigned by operations leadership and other key members of the team.

Requirements/Qualifications

  • 2-4 years of experience in an administrative/operational support role.
  • A high degree of initiative with the ability to think proactively and problem-solve.
  • Strong attention to detail and accuracy.
  • Exceptional organizational skills.
  • Strong written and verbal communication skills.
  • Ability to handle sensitive situations and confidential information.
  • Ability to multi-task and prioritize changing workloads.
  • Ability to work independently, exercise good judgment, and be resourceful.
  • A strong sense of urgency and the ability to work in an environment with time-sensitive deadlines.
  • Advanced skills in Microsoft applications (Word, Excel, PowerPoint).
