Project Management

-Maintain master PASM project schedule, including contracting needed with vendors, HCPs, patients/caregivers, and associations

-Oversight and processing of request forms for PASM’s assistance with Immersions, patients/caregivers, and associations

Sponsorship Administration

-Weekly check system for newly submitted sponsorship requests

-Quality check of sponsorship request documents

-Identify any needs from SIAC and/or legal to process sponsorships

-Prepare MOUs and secure signatures

-Submit payment request forms

-Oversight and management of sponsorship benefits

- Coordinate with lead on utilization of sponsorship benefits

- Outreach to client colleagues/departments on complimentary tickets/registrations and/or exhibit table(s)

- Coordinate ground transportation to galas

- Submit journal/program ads to Veeva

- Provide appropriate client logo(s)

-Confirm payment has been received and closeout sponsorship

HIP

-Coordinate with lead and project vendor on contracting with HCP(s) needed for event/project

-Manage entire contracting process, including submission of contracting request to HIP, coordination of travel (if any) through vendor, payment for consulting services, and any reimbursable travel expenses in accordance with the client’s policy

-Maintain excel spreadsheet of all HCP contracting and actual payments for yearend audit review and reporting

Customer Council

-Join Customer Council weekly calls regularly, help to manage project flow

Ariba

-Onboarding new vendors

-Back-up support with submitting payment request forms

-Back-up support with submitting purchase requisitions

Requirements:

-System knowledge needed (in addition to Outlook, Word, Excel) – Ariba, Contracting with Healthcare providers on a platform, Sponsorship Platform (ability to adapt to specific systems and platforms, but must understand the process of contracting with external stakeholders such as patients and HCPs)

-5-8 yrs of Pharma industry experience required

-Bachelors Degree required
