Operations Producer

The Stoke Group is looking for a B2B Operations Producer who will support the execution of a series of inspirational webinars for top B2B creative customers in 2024. The Operations Producer is a valuable team member who drives success.


Duties include:

Owning accurate show data (show times, dates, contacts) for all shows in pipeline


  • Keep up with system development as logistics move towards production dates
  • Get information confirmed between the team and the event partner or customer
  • Create and track event production binders, Airtable event templates, Airtable automations, SharePoint locations, Workfront tickets, and calendar invites months prior to show time-based on the most up-to-date team templates and best practices
  • Own and keep updated production binders after initial creation to catch unconfirmed data and dynamic changes


Run weekly task alignment meetings to ensure show progress is moving smoothly

  • Chase content with creators to ensure timelines are met within the pipeline
  • Fill in all key information (e.g. contacts, production roles, dates, times, etc) and identify missing details
  • Ensure mission-critical information is complete with enough margin before showtimes
  • Acknowledge accomplishments and discuss workflow challenges


Observe events and support status briefings with the team

  • Help to flag new learnings early and work with the team to triage
  • Support to reinforce good systems and improve inefficient ones


Establish timelines and alignment with the stakeholders and vendors

  • Facilitate all review processes
  • Create program names and maintain accurate content inputs between Airtable, SharePoint, and Basecamp
  • Submit creation of DTNs, Go URLs, CIDs, CGENs, and other tracking data
  • Coordinate vendor assets with social team, EMEA/APAC teams, and Content Syndication


Education

Bachelor's Degree


Skills

  • A minimum of 3 years experience as an operations manager, or equivalent experience
  • Must work well within deadlines and under pressure
  • Excellent communication skills
  • Expertise using digital tools like Outlook, Slack, Airtable, Basecamp, Sharepoint, and Excel
  • Detail Oriented
