Well Marriage Center, LLC is seeking an Operations Manager to join our team in Central Virginia. Our 3-person administrative team supports over 30 couples’ counselors up and down the east coast. While this position is 100% remote the person must live in Central Virginia to attend team meetings, lunches, and events.


Well Marriage Center, LLC is a private, for-profit organization specializing in providing the highest level of relationship therapy and support to the communities we serve. We were founded in 2012 and have supported over 15,000 couples. We currently have 15 offices located across 5 states and support over 30 specialized couples’ therapists. We are guided by principles that encourage autonomy, belonging, and mastery. We are passionate about nurturing the wellbeing of our team and providing a supportive and caring workplace setting.


**This position is fully remote but you must live within about an hour of Charlottesville for regular administrative team functions.**

Salary Range: $70,000 – $90,000 (commensurate with training/experience)


Job Title: Operations Manager


Reports to: CEO


Responsibilities


Staff Supervision:

• Oversee Operations, Intake, and Marketing Coordinators.

• Ensure staff meet deliverables, providing support and addressing questions.

• Conduct regular performance evaluations and development plans.


Daily Operations Management:

• Oversee the day-to-day business functioning of the company.

• Manage client journey from acquisition to retention, ensuring seamless transitions.

• Develop and maintain operational policies and procedures.

• Resolve all employee and client issues or challenges.


Facilities Management:

• Manage physical office operations, including office setups and facilities oversight.

• Handle lease and sublease management, ensuring compliance with terms.

• Complete all Business License, Business Operations, Payroll, and Insurance reports.

• Troubleshoot and resolve physical plant issues promptly.


Marketing:

• Coordinate with SEO services and oversee Marketing contractors/coordinator.

• Implement and adjust marketing strategies to meet targets.

• Liaise with marketing consultants and evaluate marketing performance reports.


Client Acquisition & Retention:

• Develop and implement strategies to acquire and retain clients.

• Monitor client satisfaction and support therapists in their roles.

• Analyze client feedback to improve services and processes.


Therapist Management:

• Oversee therapist support structures and onboard/offboard therapists.

• Conduct bi-monthly payroll for all staff.

• Work with Clinical Director to enhance therapist environment.


Proactive Task Management:

• Seek out additional tasks to advance organizational goals.

• Stay updated on industry trends and apply best practices.

• Assess and monitor company policy and procedures.

• Work closely with the CEO and Clinical Director to create and establish clear procedures for the business, clients, and therapists.


Additional duties to be determined and assigned as we grow and as they come into focus.


Work Hours & Location

• Hours: M-F 8am – 5pm.

• Setting: 100% remote with opportunities for small team meetups (must live in Central Virginia).

Required Qualifications

• Bachelor’s degree in Business Administration or related field; MBA preferred.

• Minimum of 5 years of experience in operations management, preferably in a healthcare or

counseling setting.

• Strong leadership and team management skills.

• Excellent organizational and problem-solving abilities.

• Proficiency in using management software and tools.

• Ability to work independently and take initiative.
