About The Role
We are looking for an enthusiastic and organized Operations Coordinator to support the Operations Manager(s) across all our brands. The areas of support will be focused on resource planning & workstream management, team metrics and general administrative support.
The role offers a diverse workload ranging from managing staff rotas, running reports and providing administrative assistance for compliance to ensure the smooth running of our clinical services. RThe role offers remote working with offices based in Florida, paying between $60k - $70k.
What You’ll Be Doing In The Role
Share the rota with teams. Monitor rota adherence and follow up with prescribers directly on any non-adherence. Escalate non-adherence issues to Operations Managers
Manage all rota change requests, coordinate directly with prescribers and ensure they follow team policy, e.g. sufficient notice for change or pre-arranged cover from a colleague.
Monitor workstream queues throughout the day and make / communicate rota adjustments to ensure SLAs are optimised.
Monitor orders left on-hold by the team (e.g. for escalation) and ensure these are addressed promptly by the team.
Support the Operations Manager with preparing service performance reporting. Follow up with prescribers if timesheets aren’t submitted.
Monitor performance metrics, investigate outliers and share findings with Operations Manager.
Provide performance feedback to prescribers as required by Operations Manager.
Support the Operations Managers with engagement initiatives to motivate the team and celebrate success.
Provide administrative support for set-up, renewal and on-going monitoring of CPA and PC contracts, prescriber licence applications and checks and required regulatory audits across the team.
Ensure good documentation management / Airtable hygiene for the above.
Support recruitment by coordinating job postings, scheduling interviews and liaising with candidates.
Support onboarding, welcoming new joiners, being key point of contact for administrative queries and setting up system access in line with state licences.
Support in triaging Complaints & Incidents to the relevant teams, prompting resolution on a timely basis for any outstanding.
Approve contractor invoices, escalating to Operations Manager if billing outside of expectation.
Support in renewing business insurance and certifications.
Provide general support to other teams as requested.
What You Will Bring To The Role

Experience working in a similar administrative role will be an advantage
