Overview: The Operations Coordinator at Creamsource plays a crucial role in maintaining the operational efficiency and excellence of our Burbank office. As the backbone of office operations, this position ensures that the workplace environment is conducive to productivity and that all administrative processes run smoothly. This role directly contributes to the success of our local and regional initiatives, supporting the Americas team and enhancing customer relationships through outstanding logistical support. 



 

Key Responsibilities: 

Office Management and Upkeep: 

  • Maintain a clean and organized office environment and oversee office facilities maintenance. 
  • Manage inventory and procurement of office equipment, supplies, and local SWAG. 
  • Coordinate with IT support to ensure all office technology is maintained properly and assist in troubleshooting minor technical issues to minimize work disruptions. 

Vendor and Financial Coordination: 


  • Handle operations vendor management, ensuring timely and accurate supply of services and goods to support office functions. 
  • Coordinate with vendors to maintain optimal service levels and manage any discrepancies or issues that arise. 
  • Support accounting and billing processes by assisting with invoice management, ensuring accurate and timely processing. 

Event Planning and Travel Coordination: 


  • Organize and managing logistics, catering, gear rentals, and attendee arrangements to help ensure events align with Creamsource's brand values and business objectives. 
  • Coordinate travel bookings and itineraries for staff and visitors, ensuring smooth and efficient travel plans. 
  • Act as the primary liaison between event participants, travel service providers, and internal teams to facilitate effective communication and organization. 

Customer and Administrative Support: 

  • Provide excellent customer service, manage service tickets, and respond to inquiries promptly. 
  • Utilize CRM software (HubSpot) to manage customer relationships and interactions effectively. 
  • Act as the administrative point of contact for the Americas region, particularly the Burbank office, assisting in coordinating regional logistical activities.
