Operations Associate

As part of the Admissions Operations Team, this position performs daily clerical duties that support the strategic goals of the Division of Enrollment Management with a focus on data integrity and processing physical mailing projects (including but not limited to accept and deposit packets, scholarship award notifications, and other in-house marketing mailings). The Operations Associate will maintain positive relationships within the office setting and the larger University community.

The Operations Associate will be responsible for processing and updating student information and records through all stages of the student lifecycle in the campus-wide systems; Banner and Slate. The Operations Associate provides back­up to all operations staff members as needed and assists in the supervision of student workers.

Salary: $17.14 - $18.46 per hour, 35-hours per week.

Essential Functions

This position has no supervisory authority.

  • Provide backup for the Front Desk in Alumni Hall when required
  • Primary Phone Coverage -Answer incoming calls and assist callers with accurate information or call transferring
  • Olark Website Chat Coverage - Respond to questions from visitors to our website via chat functionality. Maintain strong satisfaction ratings
  • Process incoming mail and prepare outgoing mailings for the division; admissions acceptance packets, scholarship letters, and additional mailings in a timely manner
  • Manage the in box and outbox of the shared Admissions departmental email account
  • Assist with data entry from travel inquiries and travel events in the Slate System as needed
  • Provide travel support for Admissions Counseling Team on the road
  • Assist in supervising and training student workers with mailings and other office duties
  • Provide support for students and families having difficulties with the online deposit payment process
  • Provide support for large on-campus Admissions Events (may require select weekend day commitments)
  • Upload student application materials into Slate including test scores, transcripts, letters of recommendation, essays, and international student documents
  • Work closely with the Director of Enrollment Operations to maintain data integrity in the Slate System - Consolidating duplicate records and uploading student data lists
  • Provide backup for the Director of Enrollment Operations for data and record reconciliation between the Banner SIS and Slate CRM systems

Qualifications - Education & Experience, Knowledge, Skills & Abilities

  • Formal Education: High school diploma required, Associates degree preferred
  • Experience: Prefer candidates with experience handling confidential information, preferably in a higher education setting
  • Additional Knowledge/Skills: Excellent oral communication skills; strong typing skills; ability to prioritize and multi task; ability to work independently as well as part of a team; familiarity with Microsoft office suite, knowledge of database management
  • Essential Functions: With or without reasonable accommodations the incumbent must be able to read and write and speak the English language at a college level, be capable of performing sometimes complex mathematical calculations, statistical calculations and other higher mathematical operations, must be able to communicate with all levels of the institution in written and spoken form. The individual must be able to work independently. The ability to maintain regular and prompt attendance is essential to the successful performance of this position. Other essential functions may be required
  • Physical Demands & Work Environment: Position requires significant typing and comparing data on multiple monitors. Physical effort/lifting is primarily sedentary, but may require light to moderate lifting (up to 30 lbs) for mailing or event materials. Some weekend Admissions event coverage may be required

Personal Protective Equipment must be worn when required. A respiratory function test and the ability to use respirators may be required. Stairs and uneven surfaces may be present; artificial lifts, etc. may or may not be available. The position may require the incumbent to walk outdoors in all types of weather to other buildings or offices located on the campus. The Campus is located in an area that contains numerous hills and slopes and may not always be fully accessible for mobility impaired individuals.
