Job Description

Steiner Studios is seeking a highly motivated and personable Receptionist to join our dynamic team. As the first point of contact for visitors and clients, the Receptionist plays a crucial role in creating a positive and welcoming environment. The ideal candidate will have excellent communication skills, a professional demeanor, and the ability to multitask efficiently in a fast-paced setting.

Job Responsibilities

Front Desk Management:

  • Greet and welcome visitors, clients, and employees in a friendly and professional manner
  • Answer and direct a high volume of phone calls promptly and courteously
  • Maintain a clean and organized reception area

Visitor Coordination:

  • Send daily drive-on notifications for guests that employees are expecting
  • Notify appropriate personnel of visitor arrivals

Administrative Support:

  • Provide administrative support to various departments as needed

Office and Kitchen Supplies:

  • Responsible for ordering, organizing, and maintaining office supplies
  • Monitor kitchen supplies and ensure they are adequately stocked
  • Monitor and manage milk and coffee orders for the kitchen
  • Collaborate with relevant vendors to secure the best deals on office and kitchen supplies

Communication:

  • Relay phone messages accurately and promptly to the intended recipients
  • Monitor and check the after-hours voicemail regularly, ensuring prompt and accurate handling of messages, and forwarding important information to the relevant personnel as needed
  • Assist in maintaining company contact lists

Facilities Management:

  • Monitor and manage the conference room schedules
  • Ensure cleanliness and readiness of conference rooms by regularly monitoring the spaces, including wiping down surfaces, arranging seating, and replenishing necessary supplies, to provide a professional and welcoming environment for meetings and presentations
  • Maintain a clean and organized kitchen, including regular monitoring and cleaning of the refrigerator, to uphold high standards of hygiene and provide a pleasant environment for staff and visitors

Qualifications:

  • High school diploma or equivalent. Additional certifications in office administration or customer service, a plus
  • 1 -2 years of experience in a receptionist or front desk role preferred
  • Experience working in hospitality/facility management/operations, a plus
  • Excellent verbal and written communication skills
  • Experience with Microsoft 365 (Word, Excel, Outlook)
  • Experience with Workshare Compare, Adobe Creative Suite, QuickBooks, Salesforce, a plus
  • Professional appearance and demeanor
  • Sweats the small stuff; strong attention to detail and accuracy
  • Strong ability to organize tasks and excellent follow-through
  • Demonstrated ability to take initiative and exercise sound judgment
  • Demonstrated passion for learning new things and continuous improvement

Compensation

Base Salary: $40,000 - $52,000/year

This range represents anticipated starting base salary range for this position, in addition to competitive benefits. We carefully assess and consider several factors with each candidate, including role-related knowledge, experience and skills. Compensation may vary based on these considerations.
