Position Overview:

Adsurdly is seeking a tenacious and motivated Office Manager to join our dynamic team. This role offers a unique opportunity to lead and manage our office operations, ensuring a seamless and efficient work environment. This position requires a blend of administrative expertise, technical proficiency, and strong interpersonal skills.

  • Technical Proficiency: Proficiency in office software and tools, especially Microsoft Office Suite. Basic IT knowledge to troubleshoot common office equipment and software issues.
  • Manual Skills: Ability to lift heavy objects and handle manual tasks, including assembling furniture.
  • Plant and Snack Management: Knowledge of plant care and experience in maintaining a variety of office plants. Ability to manage snack procurement and replenishment effectively.
  • Event and Travel Coordination: Experience in planning and organizing meetings and events. Ability to assist with booking travel accommodations as required.
  • Vendor and Procedure Management: Experience in developing and maintaining office procedures and policies. Ability to liaise effectively with office vendors and manage facility-related tasks.
  • Team Collaboration and Culture Building: Proven ability to contribute to a positive and collaborative team environment. Experience in implementing strategies to build and maintain a strong office culture.
  • Driving and Life Experience: Prefer candidates who can drive and have rich life experience to handle various office needs and errands efficiently.


Responsibilities:

  • Office Administration and Operational Efficiency: Oversee daily operations to ensure a welcoming, well-organized, and efficiently run office. Manage calendars, schedule meetings, and coordinate group meeting logistics. Maintain a tidy environment and ensure all supplies and equipment are adequately stocked.
  • Policy, Procedure, and Vendor Management: Develop, implement, and maintain office procedures and policies in alignment with best practices. Serve as the primary liaison for office vendors and the property manager. Oversee facility management and supply procurement.
  • Communication, Client, and Staff Support: Handle internal and external communications. Support client interactions and maintain client records. Facilitate the onboarding of new staff members. Efficiently manage the contact database.
  • Meeting, Event, and Travel Coordination: Plan and organize meetings and events, including scheduling, invitations, and material preparation. Assist with booking travel accommodations as required.
  • Administrative and Contractual Support: Provide comprehensive administrative assistance, such as data entry, filing, invoice preparation, and contract review. Ensure completeness, accuracy, and adherence to company policies.
  • Office Maintenance and Tidiness: Ensure the office is clean, orderly, and smells nice before leaving for the day. Keep track of printer paper, staples, ink cartridges, etc., and order as needed. Inspect the quality of cleaning work after each session and communicate any issues to the cleaning staff. Conduct regular inspections of all office areas to identify untidy or cluttered areas. Promptly implement solutions to restore order and encourage staff to maintain a clean workspace. Ensure all borrowed items are returned to their original place or the designated person after use.
  • Plants and Snacks Management: Familiarize yourself with each type of plant within the office and follow specific care guidelines. Adhere to a watering schedule tailored to the needs of each plant. Regularly check the health of the plants and address common issues. Be aware of seasonal care requirements for the plants. Run a snack poll every month and use the results to buy in bulk accordingly. Order and update the snack spreadsheet. Ensure snacks are restocked in the kitchen. Regularly replenish stocks of coffee, tea, and Red Bull.
  • Manual Tasks and Furniture Assembly: Capable of lifting heavy objects and handling manual tasks. Assemble and set up office furniture as needed.
  • Technical Proficiency and IT Knowledge: Maintain basic IT knowledge to troubleshoot common office equipment and software issues. Ensure all office technology is functioning properly..
  • Team Player and Culture Builder: Actively contribute to a positive and collaborative team environment. Continuously think about and implement strategies to build and maintain a strong office culture. Foster an inclusive and engaging atmosphere that aligns with the company's values and goals.
  • Ad Hoc Tasks and Form Management: Perform various office-related tasks as needed. Accurately complete and submit forms such as government and insurance documents, adhering to regulatory requirements and compliance standards.
