Summary

The Office Assistant will report to the Executive Assistant and works to curate an exceptional workplace experience. This role provides administrative support through duties like greeting visitors, managing inventory/supplies, maintaining the kitchen and shared collaborative spaces, data entry, scheduling resources, and assisting staff.

Responsibilities

  • Welcome guests into the workspace, providing an inviting first impression while sharing key details about the office and how to navigate the building.
  • Thoughtfully curate and maintain an organized inventory of essential office and breakroom supplies, ensuring our environment remains fully equipped to enable productivity.
  • Orchestrate administrative operations through attentive computer-based tasks, ensuring digital information and processes run fluidly.
  • Maintain the scheduling and upkeep of shared office resources and spaces, fostering an atmosphere of collaboration.
  • Facilitate the circulation of incoming communications and outgoing correspondences, maintaining a cadence of connection.
  • Elevate common areas into inspiring havens by purposefully arranging and maintaining these shared spaces with an artistic touch.
  • Lend administrative talents flexibly to support your colleagues' needs.
  • Embrace opportunities to contribute your creative energy to special projects and events.
  • Assist Human Resources with new hire onboarding, including remote employees.
  • Manage incoming and outgoing mail and packages.


Skills And Qualifications

  • High school diploma or equivalent; some college or post-secondary education is preferred.
  • 1-2 years of experience in an administrative or office support role
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent verbal and written communication skills
  • Strong organizational and time management abilities
  • Attention to detail.
  • Ability to maintain confidentiality.
  • Friendly and professional demeanor with excellent customer service skills
  • Ability to work well under pressure in a team environment.
