Office Administrator

B. Essential Duties & Responsibilities:

  • Daily Cash Management and Financial Transactions:
  • Perform daily cash-outs, including counting cash bags and reconciling any discrepancies.
    • F&B, Special Events, Retail & Ticketing
  • Ensure timely deposits.
  • Prepare cash bags for the next shift and handle signing out procedures.
  • Conduct bank runs and manage postal tasks as necessary, optimizing efficiency.
  • Coordinate with the Accounts Payable (AP) team to print and code invoices received via email.
  • Facilitate the scanning and forwarding of invoices to the designated recipient for review and payment.
  • Streamline invoice entry into the accounting software (CE) for efficient processing.
  • Prepare purchase orders
  • Designated person for proposed contracts
  • Assure adherence to company credit card policy.
  • Assist staff with completing expense reports accurately and in a timely manner.
  • Provide support for expense report submissions and processing.
  • TMA and Bookkeeping:
  • Collaborate with relevant personnel regarding bookkeeping tasks.
  • Assist in maintaining accurate financial records and reports.
  • Office Supplies Management:
  • Oversee office supply inventory and procurement processes to ensure adequate supplies are available.
  • Customer Communication:
  • During the ski season, serve as backup and off season, take on the primary role for the following:
  • Respond to the info@skitenney.com email account, responding to inquiries and coordinating product shipments as needed.
  • Answer incoming phone calls and aid or direct inquiries to the appropriate personnel.
  • Pro Shop Oversight:
  • Manage ticketing systems and cashier duties, addressing any issues that arise.
  • Review and oversee pro shop operations, including scheduling, ensuring efficient inventory management and sales processes.
  • Collaborate with relevant staff members to address any operational challenges or discrepancies.
  • Inventory Management:
  • Ensure inventory is completed monthly on the last day of each month and communicated to Corporate Finance.
  • Assist in inventory management processes, particularly within the pro shop, to ensure accurate tracking and reporting.
  • Onboarding Support and Document Collection:
  • Serve as a point of contact for new hires on their first day, addressing any questions or concerns they may have during the onboarding process.
  • Coordinate with new hires to collect required documentation, such as employment contracts, tax forms, and identification.
  • Ensure that all documents are completed accurately and in compliance with company policies and regulatory requirements.
  • Assist HR team in preparing materials for new employees.
  • Event Sourcing, Planning and Management
  • Identify and source potential event opportunities including weddings, corporate events, and other special functions.
  • Conduct market research to stay updated on event trends and client needs.
  • Develop detailed event proposals, budgets, and timelines.
  • Work closely with the F&B team to create customized menus and beverage packages that align with event themes and client preferences.
  • Liaise with the Ops team to ensure logistical requirements, such as venue setup, AV needs, and staffing, are met.
  • Coordinate with vendors and suppliers to secure necessary services and products.
  • Oversee the execution of events, ensuring all elements are implemented as planned.
  • Ensure high standards of customer service and satisfaction throughout the event.
  • Conduct post-event evaluations to gather feedback and identify areas for improvement.
C. Minimum/Preferred Requirements Education: College graduate; 5+ years of administrative experience a plus.D. Knowledge/Skills:

  • Excellent communication and interpersonal skills to collaborate with diverse teams, stakeholders, and the local community.
  • Proficiency in financial analysis, budgeting, and inventory management.
  • The capacity to work collaboratively with other departments (such as marketing, finance, and HR) to achieve overall resort goals.
  • Strong organizational and project management skills, with the ability to manage multiple initiatives simultaneously.

E. Physical Demands/Environmental Conditions:

  • Availability days, nights and weekends, specifically during the ski season. Work week consists of 50+ hours per week.
  • Requires moderate physical activity, handling of average-weight objects, up to 50 pounds, and standing and/or walking for more than four (4) hours per day.
