The Office Administrator is a vital part of our company's operations, by making sure that all administrative tasks are done efficiently and on time. This role involves different skills, from managing communication and coordinating with building facilities.

The successful candidate will report directly to the VP of Distribution Facilities. The position location is work from office. The office location is Dallas Texas.

The employee may be asked to travel infrequently to satellite location in Arlington Texas (1 or 2x a year).

Responsibilities

  • Establishes and manages relationships with external contractors and service providers as required.
  • Directs the activity of opening and closing functions for the buildings.
  • Provides receptionist coverage Monday – Friday. This includes answering visitors' enquiries, directing visitors to their destinations, sorting, and handing out mail, filing, records keeping, keyboarding/data entry and performing a variety of other office tasks, such as faxing or emailing.
  • Answers CCS Medical’s main phone line and responds to inquiries. Screens incoming telephone calls from both internal and external sources; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
  • Monitors building activities and reports suspicious activity on building grounds.
  • Controls building Lost and Found
  • Coordinate with vendors and services for facilities management, including repairs, cleaning, and security.
  • Manage office supplies inventory and place orders as necessary.
  • Various clerical duties as designated by the manager.
  • Always maintains a high degree of confidentiality due to access to sensitive information.
  • Maintains regular, predictable, consistent attendance and is flexible to meet the needs of the department
  • Follows all Medicare, Medicaid, HIPAA, and Private Insurance regulations and requirements
  • Abides by all regulations, policies, procedures and standards

Qualifications

  • High school diploma or general education degree (GED), and three (3) plus years’ administrative experience or equivalent combination of education and experience
  • Proficient with Microsoft Office suite of products including Word, Excel, Outlook, Teams
  • Ability to function well in a high-paced environment; performs additional duties as assigned.
  • Good reasoning, multi-tasking abilities and time management
  • Maintains a professional, friendly manner always.
