About the role

We are seeking an experienced and dynamic Meetings and Events Director to lead our operational and commercial efforts in delivering world-class meetings and events. This role will oversee a team of coordinators responsible for sourcing and booking accommodations, flights, rail, and ground transportation. Additionally, this role will manage and enhance our product offerings, including registration technology, attendee management, self-service online booking, and personalized white glove attendee services. The role includes significant responsibilities for growing our business in Canada and the USA, ensuring high-quality service delivery, and driving commercial success. Events range from 10 to 8,000 attendees and can be held anywhere in the world.


Our HQ is in Montreal, QC, but this is a remote work position based in Canada or the US.

What will your day look like?

Key Responsibilities

Leadership & Management:

  • Lead and mentor a team of event coordinators, providing guidance and support to ensure high performance and professional development.
  • Directly manage the Manager of Event Coordinators, ensuring alignment with strategic goals and effective team leadership.
  • Develop and implement strategic plans for the meetings and events department, aligning with organizational goals and client needs.
  • Foster a collaborative and innovative team culture, promoting continuous improvement and professional growth.

Operational Oversight:

  • Oversee the sourcing and booking of accommodations, flights, rail, and ground transportation, ensuring cost-effective and efficient arrangements.
  • Ensure the seamless integration and use of our event-related product offerings, including registration technology, attendee management, and self-service online booking.
  • Develop and maintain relationships with key vendors and partners to ensure high-quality service delivery and cost efficiencies.

Event Coordination & Planning:

  • Direct the planning, coordination, and execution of events, ensuring all logistical elements are meticulously managed.
  • Develop detailed event plans, timelines, and budgets, ensuring all events are delivered on time, within scope, and within budget.
  • Oversee on-site event management, ensuring smooth operations and exceptional attendee experiences.

Client Relationship Management:

  • Build and maintain strong relationships with key clients, understanding their needs and delivering tailored event solutions.
  • Serve as the primary point of contact for clients, providing exceptional customer service and ensuring client satisfaction.
  • Collaborate with clients to understand their objectives and create custom event solutions that meet their specific needs.

Commercial Responsibilities:

  • Drive commercial success by identifying new business opportunities and developing strategies to expand the client base.
  • Expand our product line, penetrate existing client portfolios, and reach prospects needing meetings and events services and technology.
  • Collaborate with the sales team to develop and present proposals to prospective clients, demonstrating the value and capabilities of our event services and products.
  • Develop and execute business development plans to grow the meetings and events business in Canada and the USA.
  • Analyze market trends and competitor activities to identify opportunities for growth and innovation.

Reporting & Analytics:

  • Oversee the collection and analysis of event data, providing insights and recommendations for continuous improvement.
  • Prepare and present detailed reports on event performance, including financial performance, client satisfaction, and operational efficiency.
  • Utilize data-driven insights to optimize event strategies and enhance service delivery.

Key Performance Indicators (KPIs) - Growth & Market Expansion:

  • Achieve targeted growth through the expansion of product lines, client portfolios, and new client acquisition.
  • Increase the use of self-service technology by clients.
  • Expand meetings and events services into new markets and regions.

Efficiency & Service Quality:

  • Improve operational efficiency by optimizing processes and reducing costs.
  • Maintain a high level of client satisfaction and retention.
  • Enhance service quality through continuous improvement initiatives.


Do you have what it takes?

Key Requirements

  • Bachelor's degree in Event Management, Hospitality, Business Administration, or a related field.
  • Minimum of 7-10 years of experience in event management, with at least 3-5 years in a leadership role.
  • Proven track record of successfully managing large-scale events (up to 8,000 attendees) in various international locations.
  • Strong operational and commercial acumen, with experience in managing budgets, sourcing vendors, and negotiating contracts.
  • Proficiency with event management technology and registration platforms.
  • Excellent communication, organizational, and problem-solving skills.
  • Ability to work under pressure and handle multiple projects simultaneously.
  • Willingness to travel as needed to oversee event execution on-site.
  • Experience in business development and market expansion, particularly in Canada and the USA, is highly desirable.
