Ready to join in? We are looking for a full-time Medical Secretary to assist an orthopedic physician practice. The ideal candidate will exhibit high standards, excellent communication skills, exceptional time-management capabilities, and have an ability to take initiative. This is a full-time position based at the Orthopaedic Building in Chicago, IL near the Illinois Medical District. Candidate must have flexibility to travel to Oak Park, IL with the clinical team on clinic days.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Functions as a liaison between patients, physician practices, internal departments, hospitals and other organizations.
  • Close collaboration with the physician and staff.
  • Prepares the charts for clinic day.
  • Interface with surgery scheduler as needed.
  • Educates patients on the logistics of surgery; location, time, what to bring and how to prepare.
  • Completes correspondence including faxing, mailing, work comp reports, draft letters, and maintenance of medical appointment schedules for the practice.
  • Responsible for assisting to organize any meetings, private records reviews and depositions for assigned physician.
  • Represents physicians by screening incoming telephone calls; recording and transmitting messages; receiving/announcing scheduled attorneys, salespeople and/or visitors. Screen potential patients and visitors; arranging referrals to other health care providers; scheduling appointments for consultations, x-rays, lab tests, physical therapy, MRI's, CT scans, etc.
  • Travel as needed per the physician’s request.
  • Organize and maintain the practice calendar.

Education And/Or Experience

  • High school diploma or general education degree (GED)
  • Healthcare experience preferred.
  • Strong interpersonal, customer service and communication skills within the team and to patients
  • Proficient in Microsoft Office, emphasis on word, excel, and outlook.
  • Ability to multitask in a fast-paced environment including problem solving, decision making, strategic thinking, planning, and communication.
  • Superior organization skills
  • Flexible and readily available
