JOB SUMMARY

Ensures the appropriate, courteous, and professional reception of students and other visitors, who enter the school-based health center. Carries out the duties necessary to maintain a properly functioning school-based health center from the standpoint of patient scheduling and customer services. Obtains pertinent patient and insurance information. Must be open and flexible to utilizing clinical skills, when necessary, staff shortages occur at the health center. Must be culturally sensitive to the needs of the adolescent population in a school setting.

  • Answers telephones promptly, and handles calls courteously, professionally, and appropriately, including scheduling of patient appointments as directed. Screens calls to determine whether they are to be directed or handled.
  • Appropriately greets incoming and outgoing students and other customers in a courteous manner and assists them with the sign-in procedure as well as the hall pass procedure for returning to class.
  • Verifies insurance coverage, conducts income determinations, and assigns payment category and updates patient information. Makes appropriate referrals as needed (i.e. Medicaid eligibility, specialty physicians).
  • Prepares medical records for new patients and files records according to the Medical Records Department's protocol. Prepares new charts, checks faxes and maintains office storeroom in an orderly fashion.
  • Schedules return appointments and assure that students receive appointments to their home room teachers and others, when necessary.
  • Collects fees which are the patient responsibility at the time of visit and issues a receipt. Sets up payment plans as necessary. Reports any potential problems to the appropriate billing personnel at HDI.
  • Responsible for safeguarding monies collected. Tallies and deposits clinic totals intact daily, when needed. Submits required documentation to the HDI Billing Department.
  • Retrieves and checks encounter forms for completeness. Submits encounters to the billing department in a timely manner.
  • Provides clinical services during the absence of the RN. Maintains clinical skills and routinely complies with clinical standards for lab testing, assessing vital signs and documenting appropriately. Responds and assists staff with emergencies when needed as a certified medical assistant.
  • Serves as a liaison between the public and the center. Assists other school­ based health staff with special projects. Participates in after-hours school-related activities, when needed. Assumes other responsibilities as needed.

Required Job Specifications

  • Education: High school graduate or equivalent. Must be certified as a Clinical Assistant or Medical Assistant or similar field of medical office experience in lieu of an Associate 's Degree.
  • Licensure: Basic Life Support (BLS) Certificate
  • Experience: 2 years previous experience in medical office or clinic setting required. Possesses medical billing experience as appropriate.
  • Skills: Typing, filing, computer, telephone etiquette and answering skills are essential. Critical thinking skills essential. Ability to respond appropriately and consistently to Managerial directives.
  • Interpersonal Skills: Able to communicate effectively with, and relate to, a diverse population in a professional and courteous manner. Flexible and able to function in a team setting. Ability to respond appropriately to adolescent patients in a non-judgmental manner.
  • Physical Effort: Must be able to lift, carry, push, pull, and or twist while holding up to 25 lbs. frequently.
  • Hours: Full-time, 36 hours per week or less. Flexible and varied. Some evening hours required for special projects and activities such as school-related events, i.e. PTSA meetings, Parent-Teacher's Conferences, etc.
  • Travel: Generally, not a requirement of this job, except required school-based health trainings and in-services
