Medical Affairs Operations Manager

We are seeking a Medical Affairs Operations Manager to oversee the operational aspects of scientific communications, evidence generation and publication strategy for our portfolio of antibody therapies. Reporting to the Sr. Director, Medical Affairs, the Medical Affairs Operations Manager will be responsible for overseeing the operations of medical, legal, and regulatory (MLR) reviews, managing congress sponsorships and planning, and supporting advisory boards and publication operations. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple projects simultaneously.


This role is based in our Waltham, MA headquarters. Our office-based employees follow a hybrid in-office schedule. Remote work is allowed, and the frequency is at the discretion of management.


Responsibilities (including, but not limited to):

MLR Review & Approval Operations:

  • Oversee the review and approval process for publications, handouts, advertisements, digital content, etc
  • Manage MLR meeting agendas to ensure timely and efficient reviews
  • Coordinate email routing and track MLR reviewers' progress
  • Follow up with reviewers and manage adjudication processes

Congress Sponsorships & Advertisements:

  • Submit and follow up on legal contracts for congress sponsorships and advertisements
  • Manage vendors and purchase orders (POs) in NetSuite for sponsorships
  • Assist with content creation for congress-related materials as needed

Congress Planning/Operations:

  • Research congresses and identify sponsorship opportunities
  • Complete and manage paperwork and forms for booth/exhibit ordering and setup
  • Track all congress-related tasks and deadlines
  • Coordinate the ordering and shipping of merchandise
  • Manage the preparation and distribution of handouts for congresses

Advisory Boards & Consultants:

  • Oversee consultant onboarding processes, including legal contracts and documentation
  • Assist with slide editing and material preparation for advisory board meetings
  • Take notes, summarize discussions, and prepare reports from advisory board meetings

Publication Operations:

  • Research and track deadlines and guidelines for congress and journal submissions
  • Collect and manage authors' conflict of interest (COI) statements and submission account information
  • Complete submission site information and manage the printing and shipping of posters

Materials/Content Editing:

  • Create simple content or perform minor editing in design software for resizing/reformatting HCP handouts, program ads, digital ads, postcards, etc
  • Track and disseminate materials appropriately
  • (Bonus) Utilize design experience/creativity to create HCP handouts, program ads, digital ads, postcards, etc


Qualifications:

  • Requires a Bachelor’s degree in life sciences, healthcare, or a related field with 4+ years of experience in medical affairs, project management, or a related field
  • Strong knowledge of relevant industry rules and guidelines
  • Proven planning and organizational skills with experience managing multiple priorities; anticipation and attention to detail with the ability to prioritize
  • Strong interpersonal skills in developing and maintaining professional relationships with internal and external stakeholders
  • Strong consulting, facilitation, and communication skills bridging between scientific and business priorities to manage effective and solid working collaboration cross-functionally
  • Strong commitment to ethical standards
  • Proficient with Microsoft Office suite (i.e., Word, PowerPoint, Excel, Outlook, SharePoint, etc.)
  • Ability to travel up to 10% as required to support scientific communications efforts
  • The salary range for this position is commensurate with experience
