The Opportunity

We are seeking a talented Manager, Administrative Services. This role is responsible for day-to-day management of the Administrative Services team and their functions. This role leads a team of ~4 Administrative Services Coordinators who are responsible for the shipping functions and mailrooms for all of the Velera, office supply management, documentation storage, onsite event coordination, and general office management for all Velera sites.

Day In The Life

  • Oversee daily administrative services operations, which include, but are not limited to, shipping, office supply management, documentation storage, onsite event coordination and general office management.
  • Implementing and monitoring processes for all functional areas.
  • Providing metrics and data for the team’s performance monthly.

  • Responsible for reporting risks that are identified to the appropriate team and/or management. Additionally, responsible for managing, monitoring, and reporting risks within the scope of your work area, to include, but not limited to Information Security risks.
  • Establishes and monitors goals for the department and team members in collaboration with the tasks that they support.
  • Creates meaningful and timely reporting tools to monitor satisfaction and service levels. Manages day-to-day operations, including driving metrics of the team, executing monthly evaluations, and coaching team members.
  • Develops and maintains department standard operating procedures.
  • Identifies business risks, implements effective controls, and evaluates controls’ success.
  • Demonstrates strong leadership ability to guide or direct others through actions and influence while making good business decisions.
  • Builds and maintains working relationships with Executive and Senior leaders, team members, vendors, and other department stakeholders.
  • Identifies and manages mitigation of roadblocks for the department and individual team members.
  • Participates in development of annual departmental budget, monitors budget and identifies budget discrepancies.
  • Responsible for balancing team members’ workload to optimize the effectiveness of the department.
  • Ensures procedures are documented so department staff can comply with policies and processes.

Experience

  • Five (5) years of management experience required.
  • Vendor oversight experience.

Supervisory Responsibility

  • Provides employee performance planning and evaluations. Sets performance expectations, goals, development objectives and training plans as appropriate; monitors and evaluates employee progress.
  • Evaluates and hires talent aligned to emerging business needs; ensures diverse and effective succession plans for all roles; encourages mobility and helps team members find stretch opportunities to expand their experience and skills.
  • Provides direction and leadership to staff; guide, coach, mentor and develop staff ensuring compliance with processes and procedures.
  • Handles interviewing, hiring, promotions, transfers, performance appraisals, compensation, counseling and termination of staff.
  • Develops and maintains staff by applying the necessary training and leadership that will allow internal growth and advancement.
  • Directs staff to ensure that all duties are performed according to department performance standards.
  • Develops the support structure of the organization, managing and developing existing staff as well as recruitment to ensure the structure is effective.

  • Excellent planning and organizational skills, as well as ability to prioritize workload using good judgment, while balancing the need for an immediate response with accuracy and completeness of information.
  • Detail-oriented with strong problem-solving skills and the ability to identify, analyze, and resolve problems, driving solutions to completion.
  • Ability to work under minimal supervision.
  • Ability to negotiate effectively with vendors.
  • Ability to lead cross-departmental project teams and develop a talented and highly motivated team.
  • Ability to listen, understand, and respond to external and internal customers’ needs in a timely manner.

  • Ability to exercise discretion and good judgment in making decisions.
  • Minimal travel may be required.

For California, Colorado and New York Applicants: In accordance with the Equal Pay for Equal Work Act, the expected salary range for this position is between:

$93,400.00 - $119,100.00

Actual Pay will be adjusted based on experience and other job-related factors permitted by law.
