Summary:
This role provides a wide range of administrative and legal support to multiple lawyers. Examples of administrative responsibilities include expense reports, management of one or more lawyer’s calendar, scheduling and planning meetings, filing, and other important administrative activities. Legal responsibilities include document preparation, file maintenance, and support for court deadlines and filings.

Duties and Responsibilities:
Administrative Support
Manages and maintains timekeepers’ schedules and calendars; maintains the tracking spreadsheets for all case deadlines
Tracks, organizes and processes expense reports, reimbursements and check requests using electronic expense system (Chrome River)
Assists with email management
Maintains lawyers’ contacts in Outlook with accurate contact information and notes (Outlook)
Coordinates travel including hotel, flights, car rentals; prepares travel itineraries and materials for meetings during travel, important numbers, locations and contact names for events/meetings
Works with external and internal resources, as well as liaises with multiple internal departments, to coordinate food and beverage services, reserve rooms and prepare materials; confirms event details with all parties
Schedules and organizes depositions, hearings, mediations, arbitrations, onsite and offsite meetings, conferences, speaking engagements, client proposals and events
Drafts routine correspondence, notices, forms, etc.
Document Preparation/File Maintenance
Gathers documents and creates a complete table of contents and appendices for court briefings; prepares attorney binders for depositions, hearings, mediations, arbitrations, and trials
Creates, formats, edits, proofreads and manages Word documents, Excel spreadsheets and PowerPoint presentations; prints and/or transmits via email as requested. (MS Word/Excel/PowerPoint)
Performs routine filing, photocopying, scanning, faxing, compiling and distributing of documents
Identifies and coordinates available firm support services provided by the administrative departments such as office services, accounting, records, etc. and follows-up on delivery and receipt acknowledgements
Data maintenance, data/electronic document management, and reporting, in compliance with firm policies using document management software and spreadsheets; (iManage/FileSite)
Stays abreast of Court efiling systems for the State, Federal, Appellate and 9th Circuit Courts and accurately deciphers court rules
Client Service and Team Support
Establishes and maintains cooperative, diplomatic working relationships with co-workers, attorneys and supervisors; works as part of a team and collaborates with colleagues; and completes projects under tight deadlines even when there are competing requirements and shifting priorities
Interfaces and establishes ongoing positive business relationships with clients, attorneys, paralegals, and other staff; adheres to confidentiality of lawyer-client relationship
Researches information as requested by attorneys and/or paralegals
Presents information and responds to questions from other professionals in the firm in a professional and timely manner
Education and Experience:
Completion of at least an undergraduate degree; an AA degree or relevant technical degree may be considered if paired with similar and recent work experience. An undergraduate degree generally provides a structured opportunity to develop skills in the areas of project management, learning mentality, and complexity.
At least 5 years directly supporting multiple lawyers simultaneously; experience should be recent as the nature of legal support and the technology continues to change and become more sophisticated
Appellate experience is strongly desired but other practice areas will be considered if they are similar in complexity, time sensitivity, and work tasks
Experience working within a team approach to legal administrative support is desired
Hands on experience filing, retrieving, and maintaining documents in a sophisticated electronic filing system such as iManage / File Site on a regular basis
Experience with sophisticated calendar and task management, travel planning, and meeting planning Intermediate to advanced MS Word, Excel, and Outlook skills and intermediate Power Point skills
Tangible knowledge of Court efiling systems, court filing rules, and how to stay abreast of changes
Working knowledge of the administrative aspects of the practice of law
Proven, highly developed organizational skills
Project management mindset including the ability to monitor the due dates and status of multiple tasks simultaneously, both their own and that of others involved in the work
Demonstrates astute judgement – knowing when to triage a problem and work through it on their own and when it is best engage or notify others
Devotion to excellence for all responsibilities, including those that are more repetitive and administrative
Ability to demonstrate exceptional resilience, maintain composure under pressure, and remain unfazed by challenges or setbacks.
Collaborative and congenial, not just with clients and lawyers but with colleagues around the office and around the firm
Some duties require in-office presence.
