Key Responsibilities:
Document Preparation and Management:
Draft and format legal documents, correspondence, and pleadings using word processing software.
Proofread and edit legal documents for accuracy and completeness.
Maintain electronic and physical files, ensuring documents are organized and easily accessible.
Calendar Management:
Manage attorneys' calendars, scheduling appointments, meetings, and court appearances.
Coordinate and confirm meeting arrangements, including conference room bookings and virtual meeting setups.
Client Communication:
Serve as a point of contact for clients, responding to inquiries and relaying messages to attorneys as necessary.
Prepare and send correspondence to clients regarding case updates, document requests, and other matters.
Administrative Support:
Answer incoming calls and direct them to the appropriate attorney or staff member.
Assist with billing and invoicing tasks, including time entry and billing reconciliation.
Prepare expense reports and reimbursements for attorneys and staff.
Legal Research and Documentation:
Conduct legal research using online databases and resources as directed by attorneys.
Prepare and organize legal research materials and case files for use in client matters.
Qualifications:
Bachelor's degree or equivalent work experience.
7+ years of experience as a legal administrative assistant or in a similar role, preferably in a law firm or legal department.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal software applications.
Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Excellent written and verbal communication skills, with a high level of professionalism and discretion.
Ability to work independently and collaboratively in a team-oriented environment.
