Lease Administrator-(Multi-Site Retail experience)

We are looking for a superstar Lease Administrator who has owned the end-to-end lease admin/accounting process for multi-site retail centers (Required) to join our stellar team of Lease Administrators! We are a fun, supportive group who gets things done!

The Role

Our mission is to ensure lease compliance for our internal and external stakeholders, (tenants and landlords) across all 540+ worldwide locations. We do this accurately and timely by analyzing leases, researching issues, resolving disputes, actively managing/auditing and documenting rent roll payments:(including base rent, insurance, taxes, etc), CAM reconciliations and initiating lease amendments/renewals, updating lease occupancy status etc

Who You Are

YOU MUST have 4+ years experience in Lease Administration or Lease Accounting and be a subject matter expert who has managed a portfolio of leases of over 100 sites for a large retail/commercial organization who adapts and navigates through change, overcomes obstacles, disagrees, and commits, and focuses on our pursuit of operational excellence. Responsibilities

  • Under general direction, analyzes and abstracts key lease information and maintains lease documentation in the Tango database.
  • Ensures financial lease obligations are processed and paid timely.
  • Develops relationships with the regional contacts, accounting team and legal.
  • Coordinates with legal on issuance of estoppels, certificates, and non-disturbance agreements.
  • Establishes landlord payments as defined in the lease for all assigned locations, including oversight of base rent payment, percentage rent, CAM, insurance, and real estate property tax.
  • Audits the company’s CAM, tax accounts, and rent charges versus the leases to recover excess charges. Communicates audit results and recommendations to Team Leader.
  • Resolves day-to-day lease occupancy issues with landlords and subtenants.
  • Maintains awareness of lease expirations, renewals, and other key dates related to assigned locations.
  • Assists in running reports, calculations and entering payments of percent rent in accordance with lease provisions.
  • Tracks subtenants for all assigned locations, including management of all dates, invoicing of rent, taxes, and operating costs. Ensures accurate and timely WFM expense recovery per sublease agreement
  • Initiates collections proceedings from subtenants as required.
  • Ability to run reports to monitor pending dates, expirations, and renewals within Tango.
  • Engages with functional/operational leaders to understand business objectives, challenges, and areas targeted for improvement.
  • Analyzes workflow and identifies issues, roadblocks, or areas for effectiveness or efficiency improvement as needed.
  • Ensures adherence to the company’s principles, values, policies, and guidelines.

Skills

  • General accounting practices and terminology
  • Knowledge of occupancy lease language for CAM, tax, insurance, sustenance and percentage rent clauses.
  • Identifies and pursues process improvement opportunities based on risk controls, customer experience, efficiencies, and other business-focused factors.
  • Strong command of Microsoft Excel and lease administration software, such as Tango. (Yardi, MRI etc)
  • Excellent communication skills, including written, verbal, and listening.
  • With guidance, responds to questions and presents information to internal and external clients in one-on-one settings.
  • Supports team and cross-functional projects within defined areas of responsibility.
  • Adapts to constraints while demonstrating flexibility and resilience.
  • Applies basic research, information gathering, and analytical skills to:
    • Collect required documentation and verify conformance with standards,
    • Assess accuracy of detailed information.
    • Handles detailed, structured problems; identifying roadblocks to task completion.
    • Considers impact to Team Members, customers, and the organization.
    • Identifies alignment / misalignment of the team’s project goals with the larger organizational strategy, goals, and objectives.
    • Understands retail operations and/or WFM product mix

    Education & Experience

    • BA/BS degree and 3+ years’ relevant Lease Administration or Real Estate Lease Accounting experience OR equivalent combination of education and relevant experience.
