Essential Duties And Responsibilities

Managerial Responsibilities

  • Successfully manage team of Project Managers and Business Analysts in the delivery of complex projects and programs through the complete lifecycle from initiation to closing; this includes ensuring the projects are on time, meeting business and technical requirements and are within the agreed upon scope and budget.
  • Develops and delivers progress reports related to the projects and programs in their delivery area.
  • Provides leadership, support, and guidance on IT PMO best practices to Project Managers and Business Analysts.
  • Conducts 1-1 meeting sessions with team members to check-in regarding project status and to provide support and direction.
  • Brings delivery team members together to share project information and help support each other as needed in a positive and welcoming team environment.
  • Works with each team member independently to identify yearly goals including conducting multiple goal checkpoints throughout the year to ensure they are on a path to success.

Program Management Responsibilities

  • Defines program strategy, objectives and success metrics for medium-high scale and medium-high impact programs.
  • Develops and oversees dependent projects needed to reach program’s overall goals.
  • Manages collaboration across project teams and reconciles interdependencies.
  • Tracks program financial performance, risks, and issues.
  • Provides strategic guidance to project managers and facilitates communication among the program’s cross-functional departments.
  • Manages resource capacity planning for the program.
  • Builds and maintains strong relationships with team members, vendors, and other departments involved in the projects. Owns stakeholder management; responsible for setting customer expectations and leading efforts to sustain customer satisfaction.
  • Estimates resources and participants needed to achieve project goals. Quickly secures needed project resources through internal scheduling or external hiring or contracting.
  • Assigns responsibilities, monitors, and summarizes progress of project.
  • Identifies and resolves issues and conflicts within the project team.
  • Identifies and manages project dependencies and critical path.
  • Develops and delivers progress reports, proposals, requirements documentation, and presentations for team and for upper management.
  • Proactively manages changes in project scope, identifies potential crises, devises, and leads execution of contingency plans.
  • Defines project success criteria and disseminates them to involved parties throughout project life cycle. Uses project delivery metrics to measure and improve team performance.
  • Conducts project postmortems and drives continuous improvement efforts.
  • Assists in the development of best practices and tools for project execution and management. Leads efforts to standardize practices and consolidate tracking methods across all IT PMO projects.
  • Actively seeks out and acts on opportunities for PM process improvement. Manage key stakeholders; communicate critical project information, and actionable insights, to the right stakeholders at the right time.

Education/Licensing/Certification

  • PMP Certification
  • Bachelor's degree from four-year college/university or extensive specialized training in related field

Experience

  • 7+ years of project management experience
  • Experience with Program Management preferred
  • Various Project Management Tools (i.e. Smartsheet, ServiceNow, MS Project, etc.)
  • 3-5 years of prior experience in physician practice management or other healthcare entity strongly preferred
  • Demonstrated leadership skills managing projects in a matrixed environment
  • Demonstrated ability to create and facilitate executive-level presentations

  • Ability to present and explain technical information in a way that establishes rapport, persuades others and gains understanding.
  • Ability to establish and maintain a high level of customer trust and confidence.
  • Ability to conform to shifting priorities, demands and timelines through analytical and problem-solving capabilities.
  • Ability to react to project adjustments and alterations promptly and efficiently
