Job Purpose

An IT Project Coordinator plays a vital role in supporting the effective operation of the Enterprise Portfolio Management Office (EPMO) and ensuring the successful delivery of projects within the organization's portfolio. You will provide essential administrative and logistical support, facilitate communication and collaboration, and contribute to process improvement and compliance efforts.


Responsibilities

  • Facilitate the EPMO Project Intake Process and guide business stakeholders on completing required steps to successfully initiate and submit a project for review and approval by the EPMO.
  • Maintain and organize project documentation, including project charters, plans, schedules, status reports, and meeting minutes, ensuring that documents are up-to-date and easily accessible.
  • Facilitate communication within the EPMO team and with stakeholders, including distributing project updates, announcements, and other communications as needed.
  • Manage project management tools and systems used by the EPMO, including ensuring data accuracy and providing user support.
  • Assist in the preparation of project portfolio reports, dashboards, and presentations for senior management and stakeholders, summarizing project status, risks, and issues.
  • Support continuous improvement efforts within the EPMO by identifying opportunities to streamline processes, enhance tools, and improve efficiency.
  • Coordinate training sessions for EPMO staff and project stakeholders on project management methodologies, tools, and processes, and assist in onboarding new team members.
  • Assist in enforcing project management standards, policies, and procedures within the organization, ensuring compliance with regulatory requirements and best practices.
  • Organize and facilitate EPMO meetings, including portfolio reviews, governance meetings, and training sessions, ensuring that meeting objectives are met, and action items are addressed.
  • Coordinate with external vendors and service providers, including Procurement, Contract Management, Invoice Processing, and Vendor Performance Evaluation.
  • Support the tracking and management of project budgets within the EPMO, including processing expenses, monitoring expenditures, and identifying variances for review by senior management.


Required Qualifications

  • Bachelor’s degree in engineering, Information Systems, Business, or related field
  • Excellent communication and interpersonal skills, with the ability to effectively communicate and collaborate with diverse audiences.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks, manage multiple projects simultaneously, and maintain attention to detail.
  • Ability to adapt to changing priorities, deadlines, and project requirements in a dynamic project management environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).


Desired Qualifications

  • Prior experience with project management methodologies like Agile, Scrum and Waterfall.
  • Prior experience in administrative roles in a project management environment.
  • Experience with project management software such as Microsoft Project, JIRA.
