Hybrid Remote/In-Person Full-Time (40 hours per week) Position in Castro Valley, CA (Non-Exempt)

Reports To: Housing Program Manager

Who We Are

Ruby’s Place (RP) is an innovative nonprofit committed to ending domestic violence, human trafficking, and violent crime through hope, advocacy and connection. Our services include emergency shelter, transitional housing, rental subsidies, mental health services, and wrap around services. All our services are trauma-sensitive and client-centered and are provided at no cost to our clients. There are no barriers to participate in our programs.

What qualifications are required for this position?

You Are Also:

  • Someone with a Bachelor’s Degree in Social Services or in a related field and/or have equivalent years of experience. At least two years of that experience shall be in housing case management, crisis intervention, and/or peer counseling.
  • Bilingual in Spanish.
  • Experienced working in a domestic violence, human trafficking and/or homeless setting providing direct services.
  • Understanding of the dynamics of trauma-informed care, as well as understanding of, and sensitivity to, serving diverse populations as it relates to family dynamics and other aspects of cultural practice.
  • Knowledgeable of MediCal, CalFresh, CalWorks programs and eligibility requirements.
  • Flexible, proactive and open to learning.
  • Knowledgeable of housing agencies and fair housing regulations and/or programs that offer services to our clients.
  • In possession of The State mandated 40-hour Domestic Violence and Human Trafficking counselor certification (this can be scheduled after hire).
  • In possession of a valid CA driver's license, proof of insurance, and be approved by Ruby's Place insurance as a driver in order to drive agency vehicles.
  • Able to complete a background check, fingerprinting (Live Scan), and completion of all Community Care Licensing requirement documents. Able to meet all licensing requirements of Community Care Licensing.

What You Will Do

The purpose of the Housing Intake Coordinator is to support survivors of Domestic Violence and Human Trafficking to access and provide referral services to transitional and permanent housing. The Intake Coordinator helps each client with an introduction to the Housing Program, assists in application and gathering of documentation needed and required for approval. This position is responsible for coordinating with other agencies working with clients to make sure client goals are being met and will advocate for clients with both government and community agencies to ensure clients receive appropriate resources and support while transitioning to the Housing Program.

Responsibilities Include

Client Service Duties:

  • Collect all housing referrals that come from the 24-Hour Crisis Line, FJC, and all Ruby’s Place programs and any additional partnering organizations.
  • Conduct all initial screenings for housing program referrals including, but not limited to, the Housing Application Client Screening, Trafficking Victim Identification Tool etc.
  • Assess clients’ overall needs once they are referred to the housing program. Create a set of goals, led by the client.
  • Assist clients with the housing application process. Communicate with clients about housing requirements and policies and procedures of the Housing Program.
  • Assist clients in the obtaining, gathering and organizing of required documentation.
  • Provide emotional support, wrap-around case management, advocacy, resource information and referrals for clients.
  • Collaborate with other RP divisions and partner with outside resources to develop a client base.
  • Provide individual crisis intervention and peer counseling services as needed.
  • Liaise with county Social Services Administration for cases with a knowledge of MediCal, CalFresh, CalWorks programs and eligibility requirements
  • Work with community partners around various resources (legal, family, cultural, etc.) for eligible clients.
  • Case Management tracking of clients and services utilizing Case Management tracking spreadsheet, Apricot database.
  • Collaborate with Housing Case Managers, Housing Navigators, and the Housing Program Manager.
  • Participate in housing program meetings.
  • Provide confidential, holistic, client-centered, trauma-informed services.
  • Maintain confidentiality and organized record/note keeping.
  • Fill out a functional timesheet by assigned due dates in compliance with the time allocations.
  • Actively participate in reflective supervision
  • Create and maintain documentation of processes and procedures in relation to duties of the job
  • Other duties as assigned by your supervisor

Other Duties:

  • Attend on-going education and training: 2-3 trainings per year.
  • Assist with general case management duties when needed.
  • Participate in all staff agency meetings.

Working Conditions

This position is eligible for hybrid in person & remote work. Time spent on-site versus remote working will be discussed and agreed upon with your supervisor. You are expected to be available on-site as necessary given business needs. You must be able to stand for long periods of time and perform physical activities, including lifting up to 25 pounds. You will be subject to frequent interruptions and must be able to multitask and handle stress. Local travel in the greater Bay Area may be required.

The pay scale for the Intake Coordinator is $26-$27.50 per hour (non-exempt) The benefits that come with working at Ruby’s Place at full-time hours include medical, dental, and vision plans, a life insurance policy, significant vacation, sick time, sabbatical, and immediate vesting in our 403(b) with a generous match. This is a full-time, 40 hours per week, hourly position. This is a hybrid position (flex work), with some days required in our Castro Valley Office.
