HSE Administrator

The HSE Administrator will support the HSE Manager with administrative and scheduling tasks associated with information tracking and reporting, training scheduling, database management, HSE Committee needs, drug and alcohol test coordination, Certificate of Insurance generation, develop and maintain a training matrix, and other duties as may be required by the HSE Manager.

  • Update incident reporting tracker and maintain related records and information.
  • Submit monthly/quarterly OSHA and MIS statistical data to contractor compliance databases
  • Assist departments with scheduling training, Operator Qualifications (OQ) safety councils, OSHA, First Aid CPR, MSHA, D&A etc.
  • Maintain OQ and Training records
  • Maintain client specific training matrix for departments.
  • Assist departments cost & time estimates
  • Pay invoices for training and code charges to appropriate project, client, or department
  • Set up individuals on Spot locators
  • Generate Certificate of Insurance (COI) as requested
  • Permanent member of the HSE and Environmental Social and Governance Committees (ESG), responsible for meeting notes and to do items assigned to members.
  • Submit OSHA/client required safety data monthly/quarterly annually (exposure hours, mileage, employee) contractor compliance databases – Veriforce, Avetta, ISNetworld, and other groups as required.
  • Maintain employee acknowledgement records of client communications, submitting to necessary entities.
  • Complete client specific worker competency, badging, vehicle, and other forms prior to project start.
  • Ensure employees working are badged in the ISNetworld database or other required systems and compliance databases.
  • Complete DOT D&A History checks on former and new employees.
  • Assist generating Drug and Alcohol (D&A) Donor Passes
  • Maintain D&A Rosters in contractor compliance databases
  • Maintain active employee list in safety or D&A databases and on rosters
  • Assign Authorized Driver Training to current and new employees requiring company vehicle access.
  • Assign eRail safe training and background checks.
  • Track and notify employees of training expirations.
  • Provide technical support to employees with online training requirements.
  • Maintain PPE & Supplies inventory
  • Maintain Engineering/Survey Licenses
  • Assist with other administrative responsibilities as required by HSE Manager.
  • Other duties as assigned
  • Associates degree or 2 years of administrative experience in lieu of degree is preferred.
  • Ability to work autonomously and to collaborate fully as a team player.
  • Ability to pay close attention to details, and present good planning, organization, and time management skills.
  • Ability to work in a team environment and willingness to assume additional or new responsibilities readily.
  • Ability to maintain regular attendance as per work schedule agreed with manager, may require working an adjusted work schedule based on project assigned and work overtime if warranted.
  • Ability to comply with applicable laws and regulations and Company policies and procedures.
