Position Title: Purchasing Clerk

Classification: AFSCME - Group 4, Full-time, 12-month

Reports To: Purchasing Agent

Hours: 07:45AM - 04:15PM

2024-2025 SY Salary: $25.09 -$26.08

Position Goal

ESSENTIAL FUNCTIONS: Other duties may be assigned.

The essential functions of this position include, but are not limited to the following fundamental duties:

  • Maintains phone contact with buildings/answers telephone/transmits messages.
  • Composes letter and memoranda for bids as directed by the Business Administrator/Accountants.
  • Processes purchase orders.
  • Expedites open bond purchase orders when required.
  • Types, mails, and processes sealed bids.
  • Maintains bid files, provides information on bid items to auditors, directors, and vendors.
  • Assists in issuing regular confirming orders and processes requisitions.
  • Maintains bidding program starting from budget preparation to issuing purchase orders.
  • Assists the Business Administrator or Accountants in compiling any reports required for bids or bond issues.
  • Responsible to act as back-up for computer entry in Accounts Payable and revenue posting.
  • Assists in maintaining service contracts and contracts with service providers/vendors.
  • Assists in maintaining running inventory of district materials and supplies.
  • Attends bid openings and records information submitted.
  • Maintains computerized Fixed Asset reporting system and runs reports to compile asset list.
  • Helps to rectify problems with invoices, requisitions and purchase orders.
  • Runs budget reports for schools/departments as requested.
  • Assist schools/departments in providing vendors for competitive pricing.
  • Maintains copy paper distribution and records usage on spreadsheets for journal entries.
  • Closes all open PO’s as notified by the Business Office.
  • Prepares blanket PO’s for Business Office for each fiscal year.
  • Performs other duties as assigned by the Superintendent or his/her designee. This job description does not constitute an exhaustive list of responsibilities and management may revise it at any time.

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: Graduation from High School or equivalent, preferably supplemented by business school training or an equivalent combination of training and experience. At least three years experience in general clerical capacity with progressively responsible duties. Ability to take and transcribe live dictation.

SPECIALIZED KNOWLEDGE: PC and Microsoft Office applications (i.e. MSWord); Type minimum 55 wpm.

Language Skills

  • Ability to communicate clearly and distinctly.
  • Ability to read and comprehend simple instructions, short correspondence and memos.
  • Ability to deal effectively and courteously with associates and the general public.

Mathematical Skills

  • Ability to add and subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to apply basic arithmetic calculations.

Reasoning Ability

  • Ability to follow written and verbal directions.
  • Ability to complete assigned tasks with minimal supervision.

While performing the duties of this job, the employee is regularly required to sit and talk or hear and operate a computer. The employee is occasionally required to reach with hands and continuously will repeat the same hand, arm or finger motion many times as in keyboard use/data entry. The employee is frequently required to stand; walk; bend, twist and stoop. The employee must occasionally lift and/or move up to 15 pounds, such as computerized reports. Manual dexterity to prepare mailings and use office equipment. . Specific vision abilities required by this job include close vision and depth perception.

The noise level in the work environment is usually moderate. Position demands meeting deadlines with severe time constraints and the ability to work required overtime in order to meet reporting deadlines.
